Get to Know the Opportunity

Enhance the effectiveness of the Human Resources team by partnering with HR Advisors located in New York, California, and Atlanta to perform a wide variety of administrative and HR related duties in managing relationships with the client groups. Serves as the Human Resources Coordinator for employees to communicate HR policies and procedures, including, but not limited to, staffing, employee relations, performance management and training programs.

Please Note: This position has been designated as a hybrid-office/home role. Details of your in-office schedule will be finalized with your manager.

The Contributions You Will Make

  • Help build a high-performance culture by partnering with HR Advisors, managers, and employees to manage day-to-day administrative requirements (e.g., data entry, scheduling, compiling data, report generation, etc.)
  • Assist in the administration of HR policies and programs such as employee relations, performance management, compensation, and learning and development.
  • Point of contact for the HR team, fostering appropriate traffic flow while ensuring customer needs are met.
  • Assist in creating a positive onboarding experience for new employees by partnering with Talent Acquisition to ensure all appropriate paperwork and access has been completed.
  • Process personnel actions such as: Transfers, Promotions and Separations and conduct Exit Interviews.
  • Maintain and discretely manage confidential HR data.
  • Handle site related matters as requested for the HR department.
  • Assist in coordinating temporary / contract workers, including Summer Interns.
  • Proactively manage daily calendars, email & phone communications including callbacks where appropriate.
  • Set-up and manage conference calls, meetings, and events for senior leader/IM HR team.
  • Assist HR team with special projects and programs as requested. Projects may include oversight of various HR initiatives related to Training and Development; Diversity, Equity & Inclusion efforts; Employee Engagement; Succession Planning, etc.
  • Manage multiple tasks; plan, coordinate and proactively manage situations in a professional manner with a sense of urgency.
  • Anticipate the business needs of the HR team, both on a routine and an ad-hoc basis.
  • Prepare meeting spaces and put together confidential leadership team meeting materials.
  • Set-up travel arrangements, prepare daily itineraries and prepare expense reports for senor leader.
  • Handle requests quickly and efficiently; problem solve in a resourceful manner.
  • Schedule and coordinate candidate interviews with senior executives

Minimum Knowledge & Experience

  • Bachelor’s degree; prefer at least 1-2 years supporting the HR or staffing function.
  • Strong computer skills including Advanced Excel, Word, PowerPoint, on-line calendar products, and conferencing systems. Workday experience desired. Experience in Excel Macros, VBA, Power BI and/or SQL desired.
  • Excellent organizational and process skills with a demonstrated ability to work on multiple priorities at one time.
  • Ability to meet deadlines while maintaining a high degree of accuracy.
  • Strong team player and collaborative work style.
  • Excellent customer service focus with effective communication skills to effectively correspond, both verbally and in writing, using phone, voicemail, and e-mail with various levels in the company and the external community.
  • Good knowledge of standard office practices and procedures. Proven administrative skills, including report preparation and development.
  • Ability to work on routine assignments independently while using good judgment in deciding when to act or when to ask for direction.
  • Demonstrated ability to deal with confidential and extremely sensitive information.

Compensation Pay Disclosure

Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.

The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.

Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.

$73,000 to $85,000 USD
