Job Description:

The Investment Administrator will provide comprehensive administrative and legal support to the Manager of Due Diligence and the Due Diligence Group. This role involves preparing and assembling materials, assisting with transactional projects, and maintaining legal and closing records. The ideal candidate will have a solid understanding of legal and real estate concepts and will work effectively with high-level personnel on sensitive and confidential issues.

Key Responsibilities:

  • Support various projects related to acquisitions, dispositions, and development transactions.
  • Maintain corporate closing records and due diligence files.
  • Assemble marketing and seller deliveries for brokers and buyers, coordinate warranty transfers, and prepare schedules for Purchase and Sale Agreements.
  • Assist attorneys with financing projects and maintain information for lenders.
  • Process construction payment applications and maintain financial records for development projects.
  • Monitor and renew consulting agreements and insurance certificates.
  • Organize and prioritize workload to meet deadlines, preparing routine correspondence and reports.
  • Schedule and arrange meetings, conferences, and other activities, ensuring all necessary facilities and materials are available.
  • Utilize software for preparing memoranda, correspondence, reports, and maintaining accurate documentation.
  • Perform general office duties, including ordering supplies, managing office equipment, and handling express deliveries.
  • Coordinate and follow up on the work of support staff.

Qualifications:

  • Minimum of 2 years of experience in an administrative role.
  • Experience in commercial real estate is required.
  • Strong attention to detail and ability to review legal documents.
  • Proficiency in Microsoft Office and other corporate software.
  • Excellent written and verbal communication skills.
  • Strong organizational and interpersonal skills.

Minimum four years of full cycle CS/Account Management experience with knowledge of supply chain, international customers and excellent communication/follow-up. ERP and CRM experience is required. This exciting role joins a tenured team offering training and work/life balance. Hybrid work schedule and excellent benefits after 60 days. Naperville location, pays between $80-85K based on experience.


Job Duties:


  • Communicate with customers, throughout order lifecycle, using independent judgment and discretion to resolve conflicts and solve issues as they arise
  • Be in charge of efficient execution of the order management process including timely and accurate order entry, analysis of orders and communication of any capacity constraints
  • Coordinate and communicate with both the customer and internal partners on delivery timing as a function of the logistics chain
  • Ensure efficient work flow within the supply chain with a focus on continuous process improvement and positive collaboration, communicate with sales managers relative to service issues
  • Process complaints and claims effectively


Job Requirements:


  • 5 years Account Management/Customer Service experience in a product based/manufacturing environment
  • International business and supply chain knowledge required
  • Strong attention to detail, communication and follow-up
  • Working knowledge of supply chain and B2B order fulfillment cycle
  • Proficient in MS Office and ERP/CRM system (Salesforce or SAP is preferred)
