The Medical Office Assistant is an opportunity for a person interested in working in a collaborative work environment that places a high value on providing holistic and people-centered care to communities who face barriers to accessing quality health care. This job is primarily day shifts, with opportunities for working some hours from home. No call shifts, no weekend shifts, and no night shifts. We are a low income, comprehensive, primary-care clinic in King and Snohomish County. Our services include integrated and comprehensive, medical, dental and mental health counseling. Purpose

The primary function of the Medical Office Assistant is to support medical office staff in the delivery and processes of care for medical patients. This is achieved by providing clerical and administrative efficiency in the medical office and at medical clinics.

Hours: $20 - $22 Full-time, 40 hours/week, Non-Exempt

Salary: Hourly, based on experience

Summary of Benefits: Lahai offers somewhat flexible work hours and a hybrid work environment for most positions. Lahai provides comprehensive medical, dental, and vision insurance to all exempt and non-exempt employees working more than 30 hours per week. Lahai offers a voluntary 401K retirement plan to all full/part-time employees who are 21 years of age and older who are eligible to participate. PTO is accrued at a rate of .057 per hour for employees working over 20 hours per week and .025 for employees working less than 20 hours per week. Lahai recognizes 11 paid holidays and holiday pay is pro-rated based on the numbers of hours you are regularly scheduled to work.

LOCATION:

Washington – North Seattle

Responsibilities

  • Answer all in-coming phone calls, which entails scheduling appointments, answering

questions from callers, taking messages and/or directing calls to appropriate

clinic staff.

  • Check scheduling line. Prioritize new messages regarding appointment cancellations and rescheduling requests.
  • Check Tasks and Messages from Case Management requesting scheduling for patients.
  • Go through Patient Wait-list located in the Server and contact patients for appointments.
  • Update clinic waitlists.
  • Help set-up for Haller Lake clinics.
  • Data entry of patient information into the Electronic Medical Record and determine

patient eligibility.

  • Scan & upload medical documents from clinics into our Electronic Medical Record

system.

  • Provide assistance to patients at clinic or in the office by answering questions,

assisting with forms or requests, and collecting financial proof of income as

needed.

  • Practice Fusion (our Electronic Medical Record) training for receptionists and other

volunteer roles.

  • Set up new patient charts in Practice Fusion.
  • Request medical records when needed.
  • Inventory, order, pick up and distribute supplies from UW Hospital (Northwest campus).
  • Assist Clinic Director, Assistant Director and Medical Office Manager with projects as

needed.

  • Use clinic resources prudently and as needed to accomplish tasks.
  • Maintain safe and clean working environment by complying with procedures, rules, and

regulations and adhering to infection-control policies and protocols.

  • Will occasionally be required to travel to mobile clinic sites for training of volunteers or to provide administrative support (mostly this means filling in for reception when there are no volunteers available).
  • Help restock Mobile Unit
  • Manage and coordinate UPres Fund with patients
  • Call and arrange specimen pick ups
  • Update signage/forms/documents etc. as needed

Minimum Qualifications

Education: High school diploma; some college preferred but not required.

Experience

Experience within a community healthcare setting preferred but not required.

Proficiencies

Strong phone and computer skills, including competency with Microsoft Office Suite, highly organized with strong attention to detail and good judgment in establishing priorities and problem solving, team player, bilingual (Spanish) skills preferred but not required.

Abilities

Work closely with staff and volunteers but also work independently as a self-starter in a fast-paced environment.
