Office Administrator

NYC Private Equity Firm New York City Metropolitan Area

We’re seeking highly motivated team members with a desire to work in a fast-paced, start-up environment. Ideal candidates will be self-motivated and proactive, able to manage to deadlines, and have a strong ability to communicate effectively to a variety of audiences.

This role will be in-person Monday-Friday, with standard business hours.


Primary Responsibilities

  • Managing the front desk, scheduling meetings, and greeting guests as they arrive to the office
  • Complex scheduling for multiple conference rooms and firmwide meetings
  • Manage multiple line telephones and route calls to team members as appropriate
  • Ensure all meeting rooms are neat, orderly, and properly prepared before meetings, including:
  • Coordination with outsourced IT provider / team members to ensure technology / meeting equipment is functional and set up for meetings
  • Coordinate with the building/facilities staff to clear guests through security
  • Coordination with outside vendors for catering / food deliveries as required
  • Ensure copy / supply rooms and pantry are stocked and work with administrative staff to ensure adequate supplies available for the team
  • Accept deliveries/mail, sort, and distribute, as required
  • Ad-hoc tasks and projects as needed
  • Arrange and coordinate extensive domestic, and occasional international, air and ground travel and accommodations
  • Prepare and process expense reports on behalf of other team members


Preferred Experience & Qualification

  • Entry Level, 0-1 years of work experience
  • Capable of coordinating and organizing calendars effectively
  • Positive, flexible attitude, and strong creative problem-solving skills are a must
  • Must be able to multi-task in fast-paced office environment
  • Must demonstrate a high degree of confidentiality and professionalism
  • Ability to work with all levels of executives, staff, clients, and colleagues
  • Excellent written and verbal communication skills
  • Strong knowledge of Microsoft Office suite, specifically Word, PowerPoint, Outlook, and Excel, is a plus
