Job Description

We are currently seeking an Experienced Licensed Vice President in the Chicago area to join our dedicated workforce. The ideal candidate must present professionally and work independently and with minimal supervision. The Vice President of Operations (Branch) is responsible for the development and implementation of the strategic vision and planning of a branch. The vice president assists with the day-to-day leadership and management, presenting the appropriate image to the public and managing the branch's short- and long-range goals. Vice Presidents oversee a variety and sizes of branches with different structures, and thus, the specific duties and responsibilities will vary. Vice Presidents assist directly in the supervision of branch-level management. A Vice President assists with the branch's budget, fiscal management, and financial health.

Job Duties

  • Provide leadership and oversight in general operations of the branch.
  • Monitor the performance of overarching goals and initiatives for the branch.
  • Establish positive relationships with stakeholders and other vendors at the branch level.
  • Assist with management of strategic planning, business development, and fiscal operations at the branch level.
  • Provide management and leadership to properties within assigned regions and book of business.
  • Partner with Community Association Managers, Board of Directors, and other internal departments to develop and lead the introduction and integration of new programs, services, and initiatives. Act as liaison to ensure quality service is delivered, that Board expectations are met, and to assist in prompt response and resolution to questions/problems. Establish and maintain a positive relationship with the Board of Directors and internal departments.
  • Mentor and support Community Association Managers to efficiently meet the Association's needs and motivate associates to achieve maximum individual potential. Provide support with obtaining all service, maintenance, and security contracts, financial management, administration, corporate policies and procedures, property infrastructure, organization, litigation processes, property collections, maintenance, and mechanical procedures.
  • Conduct site inspections regularly. Identify deficiencies and provide recommendations and action plans to improve the property.
  • Participate in sales-building activities and manage the contract renewal discussion and process.
  • Oversee training and cross-training programs and ensure all direct and indirect associates know and comply with company, government, and customer regulations, policies, work procedures, instructions, and deadlines.
  • Initiate and /or attend various internal and external meetings. Provide guidance and direction and assist in issue resolution as needed. Participate in Corporate committees as necessary.
  • Provide financial support with a wide range of functions. Monitor reserve funds to ensure they are being used per BOD and regulatory requirements; review and assist in obtaining and financing required insurance coverage; and collect outstanding corporate accounts receivable.
  • Maintain awareness of changes in rules, statutes, or regulations and communicate staff changes. Directly train staff when new procedures are required to comply with changes.
  • Practice and adhere to Associa Global Service Standards.
  • Conduct business at all times with the highest personal, professional, and ethical standards.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and workgroups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain a specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

Requirements

Knowledge, Skills, and Proficiencies

  • Knowledge and ability to apply Illinois Statutes and Community documents.
  • Preferred knowledge and ability to apply Chicago city ordnance.
  • High-rise experience preferred.
  • Excellent organization, motivation, leadership, management, and interpersonal skills.
  • Critical thinking, complex problem-solving, judgment, and decision-making ability.
  • Ability to apply a comprehensive knowledge of a particular field of specialization to complete difficult assignments.
  • Excellent customer service skills
  • Strong verbal and written communication skills. Ability to communicate and provide guidance to all associate levels.
  • Strong presentation skills
  • Ability to read, analyze, and interpret technical procedures, leases, and/or regulations
  • Must have a strong work ethic, be detail-oriented, and have excellent organizational and multitasking skills.
  • Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, PowerPoint, and Outlook. Proficiency in researching the Internet. Previous experience with financial and accounting programs.
  • Ability to work with sensitive or confidential information.
  • Experience managing large, complex accounts or projects. Ability to meet deadlines and work well under pressure.
  • Ability to work well in a team environment as well as independently. Must be self-driven and able to identify, plan, and prioritize business opportunities.
  • Knowledge of mechanical operations of a building and equipment.
  • Ability to respond to emergencies promptly

Education And Experience

  • Bachelor’s Degree Required
  • Master of Business Administration Degree Preferred
  • 7 - 10 years of directly related or closely related experience
  • 5 – 7 years of Management and/or Supervisory experience
  • 5 – 7 years of Community Association experience
  • IL CAM license required

Travel & Work Requirements

  • Frequent travel to various locations throughout Chicago for assigned portfolio
  • Travel to the Schaumburg office is needed for meetings and staff development.

  • Must be available to work in the office M-F
  • Overtime may be required
  • Frequent social interaction
  • Evening Board Meetings
