When I started out in Procurement nearly two decades ago, it was not standard practice to use data and analytics to understand organization-wide spend patterns. In the last 5 years we have seen such tremendous advancements in spend analytics, and yet, this backbone of Procurement is not effectively used by many businesses. 💡What is the framework? It is a structured approach to collecting, cleansing, categorizing, and analyzing spend data across an org. 💡Why is it necessary? Spend analysis helps uncover patterns, identify optimization opportunities, and improve supplier management. 💡How to use it? While the basic steps remain the same, there are different types of analyses that can be done following these steps - 1️⃣ Data Collection 2️⃣ Data Cleansing 3️⃣ Categorization - classify the spend into predefined categories 4️⃣ Analysis 5️⃣ Reporting 💡What are the various analyses that can be done? 🧊Spend cube which provides visibility to data across three dimensions - supplier, category, time 📊Benchmarking which provides comparisons within an org, with competition, against indices, etc. 📈Price variance analysis which can be used to look at price variability over a period of time, between suppliers, etc., to identify opportunities ✅Contract compliance analysis including actual vs. contracted payment terms analysis 💡Why do I like it? As a nerd, this is my go-to to understand how well a Procurement team is performing. If you are a leader stepping into a new org or team, spend analysis will familiarize you with key opportunities, and help set your priorities. 💡Pitfalls? The biggest challenge to good spend analysis is poor master data. If your data is not classified, not centralized, lacks item master, lacks supplier master, further analysis will be challenging - not impossible, just challenging.
