The process of taking minutes in a meeting involves six key steps: 1. Preparation: Before the meeting, review the agenda and gather necessary tools. 2. Basic Info: Record essential details such as the date, time, attendees, and meeting purpose. 3. Key Points & Decisions: Note important discussions, decisions made, and conclusions reached. 4. Action Items: List tasks assigned, including who is responsible and deadlines. 5. Review and Organize: After the meeting, organize the notes for clarity and completeness. 6. Distribution: Share the finalized minutes with all relevant participants for reference and follow-ups #minutestaking #meetings #meetingminutes

HAVING MORE MEANINGFUL MEETINGS (HMMM…because it’s worth thinking about) Post 17: PLAN YOUR MEETINGS Continuing with the PLAN your Meetings: A FOR AGENDA Again, get clear before sending the invite. The agenda doesn’t need to be an exact time break down. Your agenda will be an overview for attendees where you share your expectations for the meeting. You will let them know about the objective and topic. Acting as a signal to them that the meeting is applicable to them. You can highlight what actions you hope them to take before, during, and/or after the meeting. Once you send the meeting invite, consider what activities can be added to your meeting so there is interaction and communication from all those attending. You’ve selected these attendees for a reason, I would hope it’s because you want to hear from them and value their perspectives.

E.L.M.O Have you ever been in a meeting and the discussion takes a turn followed by a u-turn that brings you back around and then you hit a roadblock and make another turn and end up so far from where you intended to be?! Yeah, me too! While discussion is necessary and can help to solve issues, create needed conversation, and help to uncover details, there are times it's just noise that isn't necessary! So we set a timer that is ignored, we set expectations that aren't enforced, or we just let them wander and the meeting runs over with no real conversations happening! What can you do to help stop this? Well at a recent board meeting our guest speaker had an Elmo plush toy. She explained that while conversation is encouraged we need to stay on track, so if at anytime we wander off, we toss Elmo to the person who is doing too much yada yadaing because it's Enough Let's Move On! This is a fun way to set the tone and let the attendees know that we will have conversations but we will also stay on track! How do you keep your meetings on schedule?
