It’s inevitable, every so often you’ll have to ask a member of the team to fill in for you, represent you, or take charge leading the rest of their colleagues. But just because you have to delegate doesn’t mean it’s always going to be plug and play. For some it’s smooth; for countless others, delegation can be messy and bumpy. Does it have to be? Not necessarily. The efficiency of your delegation is going to be determined, not by how well you prep and brief once you have to do it, but how strongly you’ve modeled ownership as a way of life. In my estimation, there’s 2 horizons over which you can tell whether your delegation is working or not: 1. Short-term- How well the specific tasks are completed. Especially for the time and task-specific goals. If it's a campaign for example- was the person delegated to able to launch on schedule, achieve the reach, engagement, and intended response? 2. Long-term- The degree to which delegation improves the quality of thinking, and ways of work of the people to whom tasks have been delegated. Ex. A Brand Manager is delegated by a Head of Marketing to act in the latter's absence over a period of a week. To what extent has that improved their sense of ownership and cross-functional perspective? Unfortunately, I’ve found that most delegation fails to achieve much long-term impact because most set-ups simply pursue and measure quick transactional indicators. To work better, imagine you custom-built an approach that profiles specific skills, knowledge, and behaviors that each member of your team needs for their growth. The next time you delegate a task to them, you’re not just looking out for how well they deliver, but also intentionally influence their thinking toward a certain mindset, a sense of direction, and longer term outcome. #delegation #leadership #leadershipcoaching

Delegation is often seen as a way to pass tasks to others. But recently, I realized there’s more to it. Have you ever asked yourself whether certain tasks are really yours as a leader to handle? There are countless time management courses and tips on how to handle tasks efficiently. Yet, these methods don’t always work because they lack a crucial step: a real analysis of whether a single person can realistically handle all the tasks assigned within the available time. I decided to take a step back, pen and paper in hand, and listed the time spent on various routine activities. Then, I evaluated whether someone in my team could manage them just as well, if not better. The result was eye-opening. I found a list of tasks taking up nearly 400 hours a year—tasks that my team members were more than capable of handling. After a simple analysis and an open discussion with the team, we restructured one employee’s role, offering them more responsibility and a path to growth. In return, I gained up to 25% more time to focus on leading and organizing my team. Delegation isn't just about short-term time savings or assigning challenging tasks to employees. As a CEO, one of the biggest lessons I've learned is the power of delegation. In the early days, I thought being a good leader meant being involved in every single project, making every decision, and solving every problem. But as our company grew, it hit me – this approach was exhausting and not helping our company's growth. Delegation isn't just about handing off tasks; it's about empowering your team to take charge and grow. It's about trust and letting others step up. Here are some insights from my journey: 1. Play to Strengths: Know your team's strengths and weaknesses. Assign tasks that match their skills and give them a chance to excel. 2. Communicate Clearly: Set clear goals and provide the right resources. Make sure everyone knows what's expected and has what they need to succeed. 3. Check-In Regularly: Delegating doesn't mean disappearing. Keep regular check-ins and provide feedback to keep things on track and show support. 4. Celebrate Wins: Recognize and celebrate team successes. Acknowledging achievements boosts morale and fosters a culture of excellence. 5. Embrace Mistakes: Allow room for errors and treat them as learning opportunities. This creates an environment where innovation thrives. Learning to delegate effectively has not only helped us scale operations but also built a more resilient and capable team. I have to confess that delegation used to feel like just assigning tasks until a recent study shifted my perspective completely. While doing a deep dive into delegation practices, I realized it’s not just about getting things off your plate; it’s about empowerment. As an EA, I’ve experienced firsthand how effective delegation can transform not only productivity but also team dynamics. Here’s what I learned: delegation evolves as trust and collaboration deepen. It’s a progression that can unlock so much potential: 1️⃣ Task-Oriented Delegation: Start with clear, focused instructions for specific tasks, which builds trust and clarity. 2️⃣ Project-Oriented Delegation: Next, give autonomy to manage related tasks with a clear project outcome. This fosters responsibility. 3️⃣ Process-Oriented Delegation: Hand over workflows and systems for efficiency and consistency, hence scales productivity. 4️⃣ Goal-Oriented Delegation: Align tasks with overarching business goals, enabling prioritization and decision-making. This creates ownership. 5️⃣ Empowerment (Clairvoyant Delegation): Trust your assistant or team to anticipate needs and act proactively. This builds leaders and not task takers. This approach doesn’t just lighten your workload, it cultivates a dynamic and empowered team. A collective mindset is a method for achieving collective leadership. Rather than pinning leadership responsibilities on a single person, today’s organizations must adopt a more collective leadership approach. One that focuses on behaviors rather than on a person’s traits, and this is where developing a collective mindset comes in. How do we develop a collective mindset? 1. Collaborate & Innovate: promote collaboration amongst team members. Allow them to share ideas, knowledge, and expertise and create an environment in which they can do this. Collaborative environments also lead to innovation as teams leverage diverse perspectives to develop creative solutions. 2. Problem-Solving: promote a more comprehensive understanding of core organizational issues that teams come together to solve. 3. Adaptability: promote a culture of adaptability which helps with change management. Adapting to changes efficiently fosters a culture of continuous learning and openness to trying new ways. 4. Employee Engagement: ensure team members feel that their opinions are valued and that they contribute to a collective effort. A sense of belonging amongst a team contributes to higher team performance overall. 5. Communication: encourage open and transparent communication. People are more likely to share information, provide feedback, and communicate openly about challenges and success, improving team dynamics. 6. Resilience & Conflict Management: Build resilience by celebrating successes and failures and making it okay to fail and get things wrong. Use failures as learning opportunities.
