I had no clue what I was doing when I started my business 6 years ago. Despite that, I turned my marketing side hustle into a full-time income within 3 months. That felt pretty great, but soon after that I found myself so overwhelmed that I struggled to keep up with everything, much less to take on new clients. So I took a step back and asked myself one question: What systems do I need to develop to keep growing my business? ~~ System #1: The Fulfillment System This is the system for fulfilling the work I'd promised to my clients. I started with this one because it was the one I most urgently needed. I hadn't yet started to fall behind on client work, but I knew that I soon would if I didn't build a system to streamline it. For my business, this looked like building out a project management system and client portal so that we could: • Keep everything related to our work together in one place. • Communicate via one platform rather than dozens of email threads. • Track progress on tasks and deliverables in relation to the larger project and timeline. • Track time to streamline billing. ~~ System #2: The Sales System Now that I'd streamlined fulfillment, I had to streamline the sales process. I was getting new leads every week, and I was struggling to keep up with who to follow up with, when to follow up with them, and where they were in the process. That's when I decided it was time to build out my sales system: • Identifying the major steps of the sales process (new lead, appointment scheduled, etc.). • Setting follow-up tasks so I knew exactly when to follow up with leads. • Using a CRM to track where leads were in my pipeline. ~~ System #3: The Visibility System Even though I was getting new leads in, I knew that I'd have to generate visibility to keep them coming in. That's why the last system I created was all about getting in front of new people to fill my sales pipeline with. This looked like: • Getting interviewed on podcasts that my ideal clients were listening to. • Running ads to my ideal clients. • Posting regularly on social. Without these systems, I probably would've given up on my business one year in.

If you want to know why you’re attracting people but aren’t closing (even if your calendar is full of appointments), read on. This may be what’s happening to you: You failed to nail the problem You failed to show them what’s missing You didn’t answer the what’s-in-it-for-me The tendency to teach and build trust can lead to a focus on over-educating. While knowledge is good, applying it is even better. And time is the determining factor. Does your potential client have to comb through your words to get to the point, or is your client journey straightforward enough to reveal what’s in it for them? With a well-mapped and tested customer journey, you’re more likely to attract people who want to work with you because you’ve demonstrated you understand the problem. You don’t have to worry about the right fit because your solution will draw similar value-based individuals. And you won't waste time because your marketing will do the attracting, leading and weeding for you. If you do this right, the client will bring others to you. If you’re frustrated by the quality of leads you’re getting, it may be time to go back to basics and map out your ideal client journey. And while you haven’t had the time to do this before, you don’t have the time right now to waste on low-quality leads and problem clients. You’d rather take the time needed to work on creating or streamlining your process and putting it into action so you can get better results overall, including more revenue per client. You recognize that taking that step back to look at the big picture and the details within will bring alignment and forward movement. But what if you don’t know what to do or where to start? So, money also hates slow businesses... ...and loves fast people and fasts businesses I think we all know that But it's impossible to get your work done in less and less time every day without work quality being affected Yes, it is possible to improve your speed, but you can't do it infinitely... Which means you need something that HELPS you, to get that thing done in less time And this is where different backend structures come into play Backend structures are usually related to some kind software which basically makes your life easier or workflow faster So you are using softwares to boost your output And this is clearly a must if you want to scale your business to the heights Here are the softwares that we use in our agency and ones that I think almost every company should implement into their business: - CRM for managing outreach; we have created custom one on Airtable by ourselves, but addition to that is Pipedrive or Trello - Calendly for call booking; this is clearly a no-brainer because it makes your and your prospects life so so much easier and is also more seamless which means you get more calls and more clients - Airtable for task management; airtable is amazing software where you can create different bases from task management to corporate organization charts. I really recommend it! Has made our life so much easier! - Excel and Google Looker Studio for reporting results What software do you use in your business and how has it transformed your workflow? “The client that chooses a $40,000 option is quite different than the one that chooses a $4000 option.” I felt the urge to hit my forehead when the marketing expert I was speaking to said this to me. Yes, of course, client size matters! And I’ve known this, but it was buried beneath the other ways I describe my great fit clients. No more! The options we design using the Choice Framework reflect 1) the IMPACTs (life changing differences) delivered AND 2) the significance to the buyer of those IMPACTs. For example, if a client improves their decision-making regarding product or services lines due to the analysis by an accountant or fractional CFO, that could have a significance of 8, 9, or 10 on a continuum, or only a 5, 6, 7. It's 8, 9, or 10 if the company has been losing tons of money on products that aren’t selling. It's 5, 6, or 7 if the company estimates that reducing their product lines will increase their sales in the remaining products. It’s important to remember that not every need represents a crisis or a do-or-die situation. Now add the size of the company to this situation. The bigger the company, the more variables there are to consider, and the more marketing, sales, and customer service are affected. Your vast knowledge and expertise will impact a large company in a way that won’t be required to help a smaller client achieve their 8, 9, 10. <<Your firm deserves to be paid for the accumulation of knowledge and expertise that you apply to addressing a client’s issue.>> Stop starting at square one every time! I notice time and again that companies whose knowledge and expertise changes lives tend to start at the beginning client after client. This is holding your company back from attracting clients with more significant needs, and the higher fees they will pay to enjoy more significant IMPACTs. Let your current floor or entry level work go and create a new floor each year. Let’s return to the expert who helps clients with their decision-making. After three years, this provider has so much more insight into what makes better decision making. They have accumulated more real world experience, dealt with hundreds of individuals and the messy complexity of many organizations, and they can quickly home in on the key accelerators of better decision making. They are not the same company as they were three years ago. They must stop thinking like they are and start thinking like the advanced experts they are.
