Embracing Technology: My Journey to Using Calendly for Scheduling Meetings For a long time, I resisted using scheduling tools like Calendly, citing concerns like: ▪️Handing over control of my calendar ▪️Coming off as transactional ▪️Allowing random people to book meetings But the reality is, I still choose who gets my link and control my available time slots. It’s about enhancing communication with those I already have a relationship with, making it easier for us to connect. After procrastinating for years on this, a simple email request to reschedule turned into a two-week delay for me to get back to them. That was my wake-up call. Now, with my Calendly link, I can schedule meetings in under two minutes—no more juggling multiple emails and time slots. What seems like a small time savings (5-6 minutes) makes a huge difference in responsiveness and productivity. As a founder/CEO, your calendar isn’t just a tool - it’s your command center. But it shouldn’t feel like a game of Tetris where every block is a meeting and there’s no pause button. Here’s the system I’ve fine-tuned over 7+ years to: → visualize my day at a glance → differentiate virtual and in-person meetings → and hold myself accountable for what gets done (or doesn’t) Most of us use calendars to plan. Few of us use them to stay accountable. The fix? Color-coding your calendar. Here’s the ridiculously simple system I swear by: 🟨 Yellow = Default 🟥 Red = I need to be there in person 🟩 Green = Done (the dopamine hit is real when you mark it!) When I wrap up a task, I turn it green. If it’s not green? Two choices: 1. Reschedule it 2. Leave it behind This system isn’t just about accountability - it’s about clarity. Your calendar is bloated. How to recover 2+ hrs/wk in the next 10-min: 𝗦𝘁𝗲𝗽 𝟭: 𝗖𝗿𝗲𝗮𝘁𝗲 𝗮 𝘀𝗶𝗺𝗽𝗹𝗲 𝘁𝗿𝗮𝗰𝗸𝗲𝗿 Excel or Google Sheets is fine. Here are the 8-column headers you'll need: 1. Meeting Name [free text] 2. Frequency [daily, weekly, bi-weekly, monthly] 3. Your Role [owner, attendee, support] 4. Duration (hrs) [number] 5. Hours (weekly) [formula] 6. Hours (monthly) [formula] 7. Could this be... [shortened, delegated, email, eliminated] 8. Recovery hrs. [formula] ------ 𝗦𝘁𝗲𝗽 𝟮: 𝗟𝗶𝘀𝘁 𝗿𝗲𝗰𝘂𝗿𝗿𝗶𝗻𝗴 𝗺𝗲𝗲𝘁𝗶𝗻𝗴𝘀 Brain dump all recurring monthly meetings. Chuck it into the "Meeting Name" column. Complete the columns for: • Frequency • Your role • Duration Hours (weekly) and mo. should auto-calculate. ------ 𝗦𝘁𝗲𝗽 𝟯: 𝗔𝘀𝗸 𝟭 𝗾𝘂𝗲𝘀𝘁𝗶𝗼𝗻 For each meeting ask yourself: Could this be... • Shortened • Delegated • Slack/Email • Eliminated Select the drop-down for each meeting. ------ 𝗦𝘁𝗲𝗽 𝟰: 𝗖𝗼𝗻𝗳𝗶𝗴𝘂𝗿𝗲 "𝗦𝗽𝗲𝗲𝗱𝘆 𝗠𝗲𝗲𝘁𝗶𝗻𝗴𝘀" *𝘦𝘹 𝘸/𝘎𝘰𝘰𝘨𝘭𝘦 𝘊𝘢𝘭. (𝘖𝘶𝘵𝘭𝘰𝘰𝘬 𝘩𝘢𝘴 𝘢 𝘴𝘪𝘮𝘪𝘭𝘢𝘳 𝘴𝘦𝘵𝘵𝘪𝘯𝘨) 1. Go to settings 2. Scroll down to "Event Settings" 3. Check the box for "speedy meetings" 30 min. meetings will now end 5 min. early. Longer meetings 10 min. early. ------ 𝗦𝘁𝗲𝗽 𝟱: 𝗖𝗮𝗻𝗰𝗲𝗹 𝗮𝗻𝗱 𝗿𝗲𝘀𝗲𝘁 Cancel every meeting where: • You're the meeting owner • You answered "Shortened" Resend the recurring meetings. Because you enabled "speedy meetings" the small time savings compound. ------ On average you should recover 2-3+ hours/wk. We all need some margin in our work lives. That's why I recommend scheduling 25-, 50-, or 80-minute meetings or calls instead of the typical back-to-back appointments that dominate many of our work calendars. Creating this bit of space during the day will also help your meetings start on time. There's even a setting in Outlook to automate it. Go to Settings > Calendar and click on the "Shorten duration for all events" configuration button. #meetings #outlook

Batch your emails: • Check emails 2x-3x daily • Set a 30-min timer per batch • Block email times on your calendar • Turn off notifications all day 2. Trim your meetings: • Say no to unnecessary calls • Try cutting them by 15 mins • Ask for a 3-point agenda upfront • Record objective, points, and actions • Assign clear owners and deadlines 3. Clean your files: • Use a clear naming system ⤷ Ex: DD.MM.YYYY_Client_DocType_V1 • Set auto backups every 6 hours • Create project folder templates ⤷ Ex: Admin, WIP, Deliverables • Schedule monthly file clean-ups 4. Automate where you can: • List repetitive daily tasks • Start with 3 simple automations ⤷ explore zapier and app integrations • Test and adjust as needed 5. Control your calendar: • Block 2-3 deep work sessions daily. • Silence all distractions during focus time. • Add 15-min breaks between meetings.
