In today's brisk work environment, pinpointing and doing away with time wasters is crucial for boosting productivity, particularly in contact centres. Reflecting on my experience conducting training in call centres, one notable example springs to mind. Agents often treated training sessions as a bit of a breather, casually taking 10 minutes to arrive in a room merely two floors up! These seemingly minor delays can add up, leading to substantial time loss and a dip in productivity. They didn't realise that I had to deliver the training and get them back on the phones at the correct time. So what can you do in this scenario? Well first off, have a word with the team leaders, they could add something in their team meeting emphasising the importance of attending training promptly and how their actions can affect other people or teams...that and always having biscuits or sweets in my training room was a good motivator. It's important to recognise that what may be a time waster for one person could actually be a motivator for someone else. Well, there's a protocol >> To practice creating focussed time at work, here is a "Focussed Time at Work" Protocol. This protocol can also be used to create time for anything you can’t find time for right now that’s important to you. Here are the materials: -The decisions you have made ahead of time. -Your compelling reason why you want to show up to the focussed time at work - Your plan for the top 3 obstacles that you have identified ahead of time A paper and pen (preferably a journal so you can track) Here is the method: 1. Show up on time wherever you decided was going to be where you would do your focussed work. e.g. at desk, bench, chair. 2. What are your thoughts about the focussed work? Write them down. Give yourself at least 5 minutes. 3. Acknowledge what’s coming up for you and coach yourself as needed. Remind yourself of your compelling reason why. 4. Do the focussed work. 5. As expected obstacles come up, implement your plans and return to your focussed work. 6. Track any unplanned obstacles that come up as you are working in your journal and return to your focussed work. 7. 5 minutes before the session ends do a self-evaluation (ask yourself - what went well, what didn’t go so well, what am I learning, what might I do differently next time) 9. Repeat incorporating changes based on your self-evaluation. Now, this is a basic protocol for creating time for focussed work (or for anything you can’t find time for right now that’s important to you) Then, from your practice, experimentation, self-coaching and ongoing self evaluation, you will tweak your protocol over time to design your ultimate focussed work protocol. For example, you could choose 1 action that builds on what worked well or 1 action that is doing something differently. You experiment until you have a protocol that works well for you to create focused time at work with ease. The reason this works is because you keep doing it until you have the result that you want. When I coach my clients, we focus first on how we can shift their perspectives or perceptions, change the frame, or broadening their views so that we can more easily create focussed time at work. We focus here on mindset because it is most accessible, our views are optional, within our control and a skill that we can learn. I want to say this is where the magic happens - and it feels like magic sometimes - but it’s just not magic. It’s practical, it's formulaic and it’s learnable. As you practice, you will learn more about yourself and what the real challenges are for you. You will identify the underlying skills you need to build and see more clearly where to go next and what perspectives might need to change. If you take my advice there's nothing so nice As messing about on the river" I've spent the day working in a beautiful training room which literally opens out onto this idyllic bit of the River Thames. Forget those dull office walls and dreary cubicles! If you really want to get the most bang for your buck, take your training offsite. Why? Well, as Kimberly Elsbach, professor of organizational behaviour at the University of California, puts it, "sticking to the same old routine can be a real buzzkill for creative thinking. You need that fresh air, that change of scenery, to let those brilliant ideas percolate and bubble to the surface." Here are 10 reasons why I always try to run my training sessions off-site. 1. Boost morale: Offsites aren't just about work; they can easily include team activities that leave everyone feeling energised. 2. Gain fresh perspectives: New environment, new ideas. It's like a creativity boost in a different setting. 3. Amp up motivation: Taking the meeting outside the office gives it more weight and makes everyone more invested. 4. For me having regular check ins with individuals and teams can really help get a real time sense of how colleagues are feeling. Two tools I use for check ins are the 'Blob Tree' and 'The Rose, Thorn & Bud framework' that gets individuals to think about what is currently going well (the rose), what isn’t going so well (the thorn) and what they are looking forward to (the bud).
