The EU’s new General Product Safety Regulation (GPSR), coming into effect on December 13, 2024, will replace the older General Product Safety Directive and Directive on Food-Imitating Products, imposing new safety obligations on manufacturers and online marketplaces. PRODUCT RETENTION It is important as part of control to keep a sample of every batch of production. This will provide reference in case of future arguments. In our article this week as part of our series, we are looking at product retention as a way of managing product and process quality. For every batch of production, control is the final part of the process. As part of control, checks and tests are carried out, results are documented and samples are collected from the batch and kept under the same condition as advised on the label. The main purpose of retaining sample is to be able to make reference in case a customer comes up with a claim. Manufacturing (food) fraudster may want to extort an organization by producing a fake or adulterated version of the product. Since the process is different, the content will be different from your retained samples. Another important purpose is that customers may have violated certain principles around the product such as storing wrongly, they may unconsciously complaints. Your retained samples will vindicate your establishment. Similarly, retained samples helps in shelf life study. You may compare the physical and chemical properties of your retained samples at different times with the first control records to understand the changes and the effects of the changes. This will help you understand the viability, potency and safety of your product over time. Retaining a batch sample is a standard requirement. It is a regulatory offense if not in place and can attract fine. It must be well labelled and carries the markings or codings of the other products of the same batch. This samples must be taken before the batch is approved for sale. Organizations are expected to retain samples to the best before (or expiration) date printed on the label. That is the time at which no complaints are expected on the same batch. However, to be on the safer side, samples are retained for 3 months beyond their best before dates. In Consumer Goods, retained samples are actually useless once beyond best before dates. Organizations may destroy them after the exact control tests done on them at the end of production has been performed and documented.
