Want to avoid the writing dark side? 🌚 Easy! Use the services of an editor and proofreader. 🤔 These are the people who help make your writing flow and sing. 🎶 But all editing isn’t the same–and editing isn’t proofreading. 😳 Here’s a simple guide to how they work. 1. DEVELOPMENTAL editing (conceptual editing): Looks at the rough outline and assesses the big picture and your proposed structure. 2. EVALUATION editing (manuscript critique or structural editing): Assesses the structure, flow, completeness, and overall quality of the manuscript. 3. CONTENT editing (substantive or full editing): Looks at completeness, flow, construction of ideas and story at the macro level. 4. LINE editing (stylistic or comprehensive editing): A micro look at style, meaning and construction. 5. COPY editing (the final edit of the finished manuscript): A line by line check of the final manuscript before it’s turned into a proof of the printed version. 6. PROOFREADING: Checking the final formatted version–the “proof”–for grammar, punctuation, typos, and formatting glitches. No editing happens here. You access each service as you need it. A copy editor is a person who edits a manuscript, text, etc., for publication, especially to find and correct errors in style, punctuation, and grammar. Copyediting is usually done after a developmental edit and before the final proofread. It’s amazing how much a piece of writing can shine after copyediting! Here are a few things that help me when I tackle this part of the process: ✏ Use or create a style guide. Style guides are essential in keeping track of rules around commas, colons, capitalizations, spelling—basically everything. ✏ Read for sense and logic. The end reader shouldn't have to read a sentence several times to understand what the author is trying to say. If you find yourself doing this, then something needs to change or be rephrased, even if the sentence is grammatically perfect. ✏ Question the details. Sometimes writers add throwaway references or descriptions for flavor rather than authenticity, so these should be fact-checked or queried when necessary. For example, it would be sweet if the first of September 2007 was also Jane's first day of first grade; but if you look at a calendar, that’s just not possible because that day falls on a Saturday. ✏ Look for consistency. If Jane wore red in one scene, then she shouldn’t suddenly be in blue in the next scene. If a story is set in Oakland during December, then snow shouldn’t be on the ground. Pay attention to descriptions, dates and timelines, names and relationships, tonal changes, etc. Copyediting is just one step in polishing a manuscript, but it’s a big one. Any good proofreader doesn’t just rely on being a good speller or “good” at grammar. We approach each job methodically, to ensure even the tiniest of formatting errors gets corrected. I follow some version of the following process: 1. Make a copy of the copy, with the notation “SM edits 1” in the title. (Your original piece remains intact on my computer.) I open the copied version and turn on Track Changes (if it’s in Word) or the Markup tools (if it’s a pdf.) 2. Read through the entire piece, chiefly to ensure that what the author needs is within the scope of my expertise, i.e., proofreading and line editing. I’m not a developmental editor or a beta reader, for example, so I will decline those jobs if that is what’s needed. 3. Read through the text for the “low-hanging fruit”—obvious spelling and punctuation errors or spacing issues that I can correct easily. 4. Depending on how many of them there are, I may choose to Accept those changes, so I won’t be distracted by the markup I’ve done so far. I may do this several times during the entire process. 5. Check for formatting issues: extra or missing spaces, the correct number of line breaks, running headers, and so forth. 6. Do a dialogue and/or quotation check. Are we adhering to US or UK conventions, and are they correctly placed inside or outside the other punctuation? 7. The most tedious, but most crucial part of the process, is using the style guide to comb through the document point by point, looking for one type of error, and only one, each time. 8. As necessary, depending on the amount of markup needed, I will Accept Changes to give me a “clean” copy to continue working on. 9. Then comes fact-checking, and finally, rereading the document to identify any possible line edits that come under the purview of a line editor (if that is part of the contract). 10. If time permits, I space these steps out over a day or so. Spot the difference: what's the difference between copy editing and proofreading? Proofreading is likely something you've encountered in an academic or professional setting. It means reading through the copy, checking for errors in grammar or spelling, making sure there are no omissions, and so on. Think of it as a spring clean – a dusting of surfaces to make sure the copy is presentable. Copy editing, however, is a different task. It means cracking out the industrial vacuum cleaner, possibly even knocking in a few interior walls and re-upholstering the furniture. Copy editing involves obtaining both the copy brief and (ideally) campaign or design brief from the client. Paragraph by paragraph, we go through the copy, restructuring and in some cases rewriting the text in order to convey the client's precise intention. While this doesn't always involve an entire rewrite, our goal is always to enhance the communication so it impacts the target audience exactly as intended. Clients don't always distinguish between proofreading and copy editing – often a non-native client will ask us to "proofread" copy they have written themselves, where in fact the copy needs substantial editing.
