Recognizing these professionals is crucial as they often play unseen yet pivotal roles in office operations. Companies mark the occasion with diverse gestures, from traditional gifts to experiential opportunities, fostering team cohesion and showing appreciation. Here are some ideas to help recognize and show appreciation for their efforts! A question that I am frequently asked is: Who should an assistant report to—their executive or a head of admin? This decision has significant implications for the assistant's role, development, and the value they bring to both their executive and the organisation. When an assistant reports directly to their executive and it works, it fosters a close, trusting partnership that results in understanding and anticipating the executive’s needs. This model encourages alignment with the executive’s vision, priorities, and leadership style, allowing the assistant to become a strategic partner in achieving both daily and long-term goals. As long as the the executive understands the value of the role, their assistant is seen as an integral member of the executive’s team, entrusted with managing high-level tasks, confidential projects, and key relationships. This strategic involvement adds tremendous value to the executive and the organisation. On the flip side, when assistants report to a head of admin, they benefit from being led by someone who truly understands the role and its potential. An administrative department ensures a consistent level of professionalism across the organisation and provides a clear pathway for development and growth. A head of admin can also enforce best practices that enhance the efficiency and effectiveness of the entire administrative function. An admin department or function fosters a sense of community among assistants, encouraging peer-to-peer support and the sharing of knowledge. Being part of a larger administrative team allows for more opportunities to collaborate and problem-solve, which can lead to improved performance and innovation. A head of admin can also serve as an advocate for assistants, ensuring that workloads are balanced, responsibilities are clear, and assistants are not overburdened with tasks outside their scope. This ensures that the assistant’s work remains aligned with the organisations broader goals, and it also provides the assistant with a structured support system. The reality is that neither of these models is perfect on its own. Reporting directly to an executive builds a strategic, responsive partnership, but can leave the assistant isolated. Reporting to a head of admin provides structure and support, but can limit the assistant’s ability to fully integrate with their executive’s workflow and priorities. In practice, many organisations have adopted a hybrid model where the assistant reports functionally to their executive but is part of a broader administrative team led by a head of admin. This model combines the best of both worlds, allowing for personalised support tailored to the executive while maintaining a broader support network for development and consistency. By combining the strengths of both models, the hybrid approach ensures that assistants are empowered to perform at their best, contribute meaningfully, and continue evolving in their role.

Un-sung heroes - Support / administrative staff.. In every single organization, company or business setup despite its size and area of operations, we always find support staff, often one of the most underappreciated and undervalued but verily play a vital role in successful business operations. There is a misconception in most of the organizations about non-technical, support, administrative staff as their contribution to successful business operations is least required and “not valuable”. Support staff, administrative / HR / Office / Front desk; usually do the most repetitive tasks. They answer the phones, organize tasks, keep things organized, keep track of various operations, make sure you have what you need when you need it, and are often the first contact anyone has within the organization. Their job description, roles and responsibilities are not standard or defined. Yet assigned with most of the tasks which others feel frustrating and tedious. Sadly, support / administrative staff are often under-utilized and under included, and that creates several problems. Their work may not be made satisfying enough, or interesting enough, since it is often repetitive. Support/administrative staff tend to have less formal authority and can become frustrated and less effective at work as time passes. Support/administrative staff are rarely provided with training and development opportunities in any organization. Often considering costs associated against turnover and other operations, support / administrative staff who are marginalized in the workplace cannot contribute their unique knowledge to the health of the organization. And then everyone loses. Support / administrative staff (like any other staff) have different contributions to make, and different preferences as to how they might like to contribute. As their services cannot be quantified or converted in to numbers / digits, organizations tend to consider contribution of support / administrative staff “not valuable” which most of the times proves to be disastrous in many instances. Instead organizations must know, contributions of support staff are “Invaluable” rather than “not valuble”. Support / administrative staff are untapped resources that often have a different set of insights about the work that needs to be done. Organizations can benefit by tapping this resource, and increase innovation, by helping support staff become better integrated into the total functioning of the department. 🎉 Happy Administrative Professionals Day! 🎉 💚 Often overlooked, admins at all levels have significant impact and contributions to any organization they're a part of. As I look back on my nearly 20 (!) years of experience in the admin realm, I reflect on the common misconceptions of what I do, what my team does and what a great Executive Assistant can do: 🗓 Calendaring is *part* of what we do, but barely scratches the surface. "Calendaring" in itself means that we are resolving conflicts, navigating competing priorities, ensuring communications are thorough, assessing the need for prep calls/work, confirming agendas, planning travel based on what's being scheduled, paying attention to the attendees (who's virtual, in person, what's their time zone, etc), and so much more. One "meeting" to plan for is a project within itself, especially if it's large and includes external people. 👀 "It looks easy." Ha, thanks. That's actually very high praise, since it's not easy work. It takes a deep level of attention to detail, resilience, adaptability, multitasking, ruthless prioritization, time management, people skills, communication prowess, and so much more to be an awesome admin. Making it look easy is part of the "magic" we possess. ❌ "Anyone Can Be an Executive Assistant" No, not true. That’s like saying anyone can be an Olympic Gymnast or CFO. While many of the skills of an Executive Assistant can be learned, there are certain natural behaviors and characteristics that not just anyone possesses (such as initiative, confidence, humility, loyalty, empathy, the ability to pick up on subtleties and nuances in communication, influence, organization, and more). 🌟 Let’s forget about the “Assistant” part of Executive Assistant for a second. Being an Executive Assistant doesn’t just mean we are an “assistant” to the Executive. It also means we are an “assistant executive.” Not anyone can be a leader, an executive or a high impact player in an organization. Senior level EAs are often in the room and at the table when big decisions are being made and are able to share their thoughts and perspectives. Some can even act as proxies to their leaders. 🌱 Whether you're looking to be a career EA or use this multi-faceted role to grow into something else, there is no role that is identical that can expose you to the endless learning, direct access to leadership and truly valuable skills that translate well in most roles that exist. This has been the trend recently because Candice Burningham apparently opened a can of worms. Honestly, I am not sure what is so controversial about a title change. When I started, Penn Foster still had a correspondence secretarial program, and yes, secretaries and executive secretaries were still the main titles for our role. I will tell you how you truly know whether you are valued. Administrative Professionals Day is immediately followed by Bring Your Child To Work Day. How many of my fellow admins have EVER been asked to discuss our profession? How many of you have watched children pass by your desk as an afterthought, maybe with a quick introduction or to be told that you are the one to ask regarding getting food, drinks, or where the restroom is located? You know, as Lucy Brazier OBE put it, the housework items of the office. You want to know how you are valued; it isn't by receiving flowers. It's when people tell their kids that your profession is the backbone of what makes corporations work and that it is a vital role for EVERY organization. Sadly, it does not matter what title we have. At this point, it is like putting lipstick on a pig because we have not been able to break that particular barrier. Lucy Brazier OBE is helping us with the Global Matrix, but we need to push every recruiter and organization to use this resource. To stop treating us like we are housekeepers with some typing skills, but as the organization managers we are and have been for a while.
