DAY ELEVEN OF MY VA LEARNING JOURNEY TIME MANAGEMENT: There are 24 hours in a day. This 24 hours applies to everyone and not some specific persons. How you manage your time determines what you achieve. It's true that we all have the same 24 hours but without good time management skills it can feel like the day passes by with little to show for it. I have learnt today that time management is the process of organizing and planning how to divide your time between activities. I also learnt that a good Virtual Assistant should know how to manage time systematically. Here are tips on how to manage time: 1. Avoid multitasking. 2. Use time management tools such as Trello, Asana or Google calendar. 3. Limit distractions. 4. Create a schedule 5. Set SMART goals [Specific, Measurable, Achievable, Relevant and Time-bound] to stay on track. 6. Prioritize tasks.

Just before the COVID -19 time I set up a compact work area not too far from my home office that doubles as a small training room. This is 5 KM away from my home in the small but beautiful town Alleppey which is more popular as a tourist destination . This space allows me to stay productive while also offering a dedicated environment for hands-on training sessions, virtual meetings, and continuous learning. Having this space not too far from has made it easier to focus on both day-to-day tasks and developing new skills. It’s a great reminder that even small changes in your environment can make a big impact on productivity and growth. #TrainingRoom #WorkLifeBalance #ContinuousLearning #ProductivityBoost

When in a project is it worthwhile to stop working remotely and get the team in the same room for a few days and get some work done? We all value remote working. However, there are times in a project lifecycle when a team needs to sit together to make progress faster. For example when the many service ideas already created has to be matched against the recent insights and increased in their level of maturity. To do so, compromises must be found to optimise the willingness to invest several days and achieve results. By doing so, the pressure on the facilitator rises, as the participants' time investment must be followed by a workshop that delivers on the initial promises. Once in the room, great things happen. Such as this energy that keeps building up as the group sees the value in what is happening step by step and improves their dynamics. A workshop is a bidirectional process. The interactions in the room are a give and take, and as a facilitator you can get energy from the room. It has been a pleasure to invest last week to develop future service concepts for home comfort with Brigitte Yvonne Stuart Yang Tahir Mehmet & Oliver. You've been a great crew! May you learn quickly, fast and cheaply about their potential. I am also very grateful to my colleagues Ulrike and Nils . Results are always greater than the sum of their parts. #workshop #facilitation #servicedesign

For the past 3 months, I’ve embraced time tracking, and it has added a lot to my productivity hacks. I dislike wasting time—this is a quality I developed when I became a virtual assistant. I love knowing how I spend my time, whether I’m handling client tasks, upskilling, or doing personal things. By tracking my time, I’ve discovered which tasks I spend the most time on and which ones take less time. Once I see where my time goes, I can focus on what matters. Instead of getting distracted by less important tasks, I now dedicate more time to activities that move my business forward. Time tracking has also been pivotal in reducing distractions. I no longer waste time scrolling through social media because, at the end of the day, I can see exactly where I “wasted” time instead of being productive. It really keeps me in check! Shout out to my accountability partner 🤣 . Lastly, time tracking has improved my work-life balance. It helps me avoid overworking by keeping track of how much time I dedicate to work, allowing me to set clear boundaries and make time for myself. For these past three months, I’ve been using Clockify to track my time because it: ⮞Is easy to use, with direct and simple navigation. ⮞Provides detailed daily, weekly, and monthly reports, which you can send to your clients if they need to track your time. This increases transparency by providing an accurate record of how much time was spent on a project. PS: Which time-tracking tool do you use?
