One of the biggest hacks when hosting a large event is to establish a planning committee for it. Give each committee member specific tasks and then come together on a weekly/bi-weekly basis for updates. Sourcing speakers, sponsor outreach, searching for a venue, sourcing day of volunteers, etc. can all be focuses of the committee members to help take some of the burden off of you. To take it one step further, you can sprinkle in some people from companies who may be potential sponsors. Doing this helps them stay involved and allows them to get more out of their sponsorship.

🎄𝐈 𝐬𝐮𝐬𝐩𝐞𝐜𝐭, 𝐞𝐯𝐞𝐧 𝐡𝐨𝐩𝐞, 𝐭𝐡𝐚𝐭 𝐜𝐨𝐫𝐩𝐨𝐫𝐚𝐭𝐞 𝐩𝐚𝐫𝐭𝐧𝐞𝐫𝐬 𝐚𝐫𝐞 𝐨𝐧 𝐲𝐨𝐮𝐫 𝐡𝐨𝐥𝐢𝐝𝐚𝐲 𝐠𝐫𝐞𝐞𝐭𝐢𝐧𝐠 𝐥𝐢𝐬𝐭. And I hear from many of you how stressful this becomes. So much time is spent coordinating the corporate prospect and sponsorship list. Talking to all the team members to figure out who wants to send which ones. My advice: a shift in mindset is required. Done is better than perfect. 2wNow imagine what it is for a Meeting Planner, when they have to do all of this on their own. I know, when organize International events, I have to have at least 4-6 people actively involved in organizing the entire event to make sure things go flawlessly.
