I used to be hard on myself for attempting to complete 50 tasks a day and only finishing a handful of them. Turns out, it wasn’t my productivity that was the issue, but the enormity of each task — together, they amounted to a week’s worth of work. I realized that simple prioritization and aiming for a set number of tasks each day didn’t cut it when it came to creating a realistic schedule. Instead, I now use Todoist to estimate the time needed for each task and mark it accordingly (they have this cool new feature launched 🚀 ) 📍 I don’t factor in meetings when planning my schedule — they already have set time slots. 📍 I assign a rough estimated time to each task (15-30-45-60 minutes). 📍 I compare time slots without meetings and fit in the tasks that fit, pushing back less urgent ones. Sure, unexpected things always pop up, and it's not easy to plan everything by time relevance. But this approach has been a game-changer for my time management. When we step up into a management role, our time management needs to go to the next level. Most people manage their time by: - Keeping a to do list that they add to, as things pop up - Reacting to things that come in (e.g. e-mails and our boss sticking their head in our office) - Ignoring out to do list and just jumping into whatever comes to mind when we get a spare moment The most important change is to move from reactive to proactive time management. Reactive often works well enough early on in our careers when things come at us from one direction (our boss). But, rather than being driven by the requests of the day, we need to regularly (e.g. weekly) map our work and identify those tasks that are important, not just urgent. To do this, set a regular time to write a list from scratch of all the work you *could* do in the next period. Weekly works best for most people, so I’ll use that as the example, but you could vary it to fortnightly, if you have a job that has more important and less urgent work (but a month is definitely too long). To compose this list, check in with: - Your (or your team’s) quarterly goals (if you don’t have any, check out our Quarterly Planning Toolkit: https://buff.ly/3TxixFD): What is required to keep moving towards them and/or to resolve obstacles? - Your e-mails: What new tasks have popped up in the last week? - Your calendar: Review last week’s meetings for new actions and the next four weeks’ meetings for upcoming deadlines - Last week’s list: What hasn’t been completed and is still relevant Then plot this long list in a two by two Eisenhower matrix, with more/less urgent on one axis and more/less important on the other axis. “More urgent” means the task must be done in the coming week (like, it really *must* be done, not it would be good to get done). Then do this: 1. Block out daily chunks of time (1.5 to 3 hr) in your calendar for focussed work in the coming week. This is when you’ll start with important and urgent chunky tasks 2. When you find yourself with smaller stretches of free time, go to your list and pull out anything that is important and small, starting with the urgent first 3. Delegate anything that’s urgent, but not important 4. Delete/forget about anything that’s neither important or urgent As a manager, you can’t control your workload or expect to get everything done. The Power of Time Management: Maximizing Executive Assistance In a world where time is limited, how we manage it can be the difference between a productive day and a chaotic one. TIME — a resource nobody can create more of, and yet, it’s the backbone of how we, as Executive Assistants, operate daily. Reflecting on my own experience, I’ve learned that no matter how busy my day gets, time management is a master skill that keeps me grounded. From juggling multiple calendars to handling urgent requests, I’ve realized that mastering time management isn’t just about getting things done—it's about doing the right things at the right time. How time management has boosted my efficiency: Prioritization: I’ve found that tackling high-priority tasks first, sets the tone for the day. Using a tool like Trello helps me map out what’s urgent versus important, ensuring nothing critical is missed. Delegation: One of the hardest lessons I learned was that we can’t do it all. Delegating non-core tasks allows us to focus on what matters most—both for ourselves and the executives we support. Scheduling Buffers: Leaving breathing room between meetings and tasks is a life saver. This little buffer prevents last-minute scrambling and keeps my day feeling more manageable, especially when unexpected events pop up. Routine Building: I love building small routines into my day, like setting aside time for quick task reviews or scheduling emails at specific intervals. These habits help me maintain focus and momentum, even on the busiest of days. Time management is the compass that guides us through our to-do lists, our executive’s priorities, and the unpredictability of each workday. By mastering this skill, not only do we boost our own productivity, but we also help those we support make the most of their time.
