Saw this article from Christopher Winterburn at Baskerville Drummond LLP Drummond last week (https://lnkd.in/eZ-HtyyT) about the importance of purging data client and matter data from your systems. It's a well-known fact that most law firms have too much data and its often stored in too many siloed locations. Many law firms have multiple accounting and case management systems in their environment with most of them being systems they have inherited from a merger or a takeover or are systems the firm migrated off some years ago. Managing all of this data (and these systems) is a costly, IT and Compliance, nightmare. Often the systems are on old hardware running end of live and unprotected software and in many cases, firms are still paying for maintenance and licences. From a Compliance point of view having data spread across multiple systems and locations is nearly unmanageable and presents a major risk to the firm. So, what can you do about this. Firstly, you can consolidate all of the data, and documents, into a single dataset – this gives you a single location for all of your closed and archived data making it easier to search and manage. Secondly you can apply your data and retention policies (you only have to do this once) and apply some intelligence so the data is automatically destroyed in-line with your legal and client obligations. But all of this just sounds too difficult especially when you’ve other pressing projects and targets to meet. These sorts of projects typically get put on the furthest part of the “back burner" , but of course the longer you leave it the bigger the problem gets. This is where Fusion from Maluma comes into play. A single system that can take data and documents from any, and multiple, matter centric systems and create an easy to access, easy to search single dataset that you can then apply your deletion and retention policies to. Fusion is already being used by firms both large and small to help them consolidate their closed and archived data, decommission old hardware, reduce IT risk, save money on support and licence fees and more importantly help them manage data out of their organisation. Christopher Winterburn has written an article to explain why, as law firms grapple with exponentially increasing data volumes, it is crucial that firms adopt a process to deal with the thoughtful purging of client and matter records. #lawfirm #itsecurity #datasecurity
