Batching similar tasks has been a great tool for increasing productivity in my day-to-day as a CEO. There were days when I’d jump between emails, client calls, coaching, staff calls, etc., all in one day. Batching similar tasks has helped me cut down on the less productive time between activities. By keeping similar tasks together, I can work more deeply without the ramp-up or ramp-down time between activities. For example, I used to alternate between meetings and tasks on the to-do list. However, by the time I ramped down after call #1 and got ready for call #2, my 30-minute break was gone. Now, I block similar meetings together, and it's amazing how much time I've saved by not trying to get tasks done between meetings. It's funny, optimizing my schedule never gets old. Every time I think I have it at maximum efficiency, I figure out a new way to optimize. #productivityhacks #timemanagementtips #ceolife #worksmarternotharder

Last week my client Andrew and I did something different from our usual weekly accountability and organizational meetings. Usually, we would focus on the fires he had to put out week by week. Intentional small habits. This made a big difference. But it was like we always started with the same challenge. The never-ending to-do list. So I decided to change a few things. We first put aside the to-do list. And he was focused on his vision and the next 90-day plan. I took him through the million-dollar planning system. And by the end, his to-do list wasn't as overwhelming. Because he was now focusing on the right things to move the needle forward. We looked at his to-do list and asked who or how he could delegate what was already on there. Within one session the to-do list shortened dramatically. Letting go of tasks is not always easy. And most of the time it's a habit to break. Learning to delegate and sticking to a plan that is aligned with your vision allows you to focus on what matters most. This is where the gold is.
