How many would know that we at the circulation department went through a similar issue just two days before the mega launch of The Times of India-Chennai Edition with a circulation number of over 2 lakh copies, of which over 1.27 lakh copies were under pre paid subscription. Our tagline through out the promotion period was “World’s largest selling English Daily “. We used SAP Sales & Distribution module and the entire subscription copies, booked over 75 days were keyed in to arrive at the print order distribution point wise (over 120 distribution point across the geographical area of Chennai) & vendor wise (over 4,000 in number). These individual orders were mapped to these vendors, distribution point wise. However we were maintaining the print orders, manually, distribution wise. The Advertising Sales team got some 20,000 orders under barter from some key clients and these orders were given just 3 days before the launch date, i.e, on the 10th April 2007. In our anxiety to serve these copies from the launch date, it was pushed through the back end and boy the entire SAP module crashed. When the system was recovered, the print order was skewed in favour of some vendors and the print order was totally wrong due to it. Our then Director Mr Vohra did not panic and came out with a brilliant solution as were maintaining the subscription bookings manually as well. We worked backwards in collecting the data from copies of the subscription coupons given to vendors to map it and took us about 4 weeks. What a learning it has been for me as Head of Circulation.
