Purpose of the position We are looking for a dedicated operations analyst to support our air and sea departments. The successful candidate will facilitate logistics operations for air and sea freight shipments. This role requires strong organizational skills, attention to detail and excellent communication skills in a fast-paced shipping environment. Essential duties and responsibilities - Assist in coordinating air and ocean freight shipments, ensuring compliance with regulations and company policies; - Prepare and manage shipping documentation, including bills of lading, commercial invoices, and customs declarations for both air and ocean shipments; - Monitor and track shipments, communicating updates to clients and internal teams to ensure timely delivery; - Collaborate with carriers, customs brokers, and vendors to resolve any shipment issues or delays; - Support the daily operations of the air and ocean departments, providing back-up coverage during team members’ vacations or absences; - Update and maintain freight management systems with accurate shipment information and billing details; - Assist in optimizing operational processes to improve efficiency and reduce costs; - Provide exceptional customer service by addressing client inquiries and resolving issues promptly; - Conduct administrative tasks, including data entry, reporting, and filing as required. 🚢Basic Freight Forwarding Workflow 1️⃣ Overall Workflow 🏷️Customer Inquiry: The client provides details such as the port of origin, destination port, container type, cargo weight, and shipment date. 🏷️Initiating the Booking: The client completes a booking form. 🏷️Document Preparation: The operation team prepares necessary documents, including the waybill and booking note. 🏷️Space Booking: The operations team books space with the shipping line. 🏷️Space Confirmation: Space is usually confirmed within one business day. Based on the loading schedule, the agent will request the Shipping Order (SO), packing list, and container pickup QR code. 🏷️Data Entry: After obtaining the SO (including bill of lading number, vessel name, voyage, destination port), the team inputs the information into the system to complete the details. 🏷️SO and Packing List Handover: Documents are handed over to the trucking team. 🏷️Container Pickup: The trucking team picks up the container the night before, using the pickup QR code. 🏷️Loading: The container is loaded at the factory. The client needs to provide accurate data (such as item list, shipper/consignee information, volume, weight, number of items, and product names). 🏷️Return and Port Entry: The terminal pre-registers the entry. The container is returned and entered into the port with the packing list. 2️⃣ Customs Declaration Process 🏷️Client Provides Customs Data: Data is provided based on the loaded volume (customs data = bill of lading data = port entry data). 🏷️Customs Declaration: The declaration is made either on the cutoff date or in advance.
