Here’s How UNSPSC Classification Can Enhance your Organisations Spend Analysis 1. Standardised Spend Categories Implementing UNSPSC in spend analytics ensures that all procurement data is classified using the same system. This improves visibility across different departments and regions by creating a uniform view of spend data, making comparisons and consolidations easier. For example, a global company can standardise procurement data from various offices, enabling centralised analysis that supports strategic purchasing decisions. 2. Improved Spend Visibility With UNSPSC, companies can break down spending into highly detailed categories. This granular visibility allows procurement teams to monitor specific spend areas, such as IT services or logistics, and identify opportunities for cost reductions. By isolating spend patterns, companies can reduce redundant purchases and optimise their procurement strategies. 3. Supplier Benchmarking UNSPSC provides a consistent way to categorise suppliers, allowing organisations to benchmark costs for similar goods or services from different vendors. This enables companies to compare suppliers more effectively, helping them identify opportunities for cost savings or improved performance within specific categories. 4. Spend Control and Compliance By categorising spend data with UNSPSC, companies can more easily identify areas where spending exceeds budget thresholds. This system helps organisations gain better control over their procurement activities, enabling more targeted cost reduction efforts. Moreover, using standardised classifications simplifies compliance with industry-specific regulations, improving audit readiness and ensuring that procurement activities meet necessary reporting requirements. 5. Automated Spend Classification When combined with AI-driven analytics platforms, UNSPSC can enable automated spend classification, reducing the need for manual efforts. AI algorithms can map purchases to the correct UNSPSC codes, ensuring real-time categorization of new transactions. This automation allows procurement teams to focus on strategic initiatives rather than getting bogged down in manual data management tasks. 6. Enhanced Predictive Analytics By using UNSPSC to organise historical spend data, companies can apply predictive analytics to anticipate future procurement needs. For example, trends in past spending across categories like consulting or software licences can inform contract negotiations or help manage inventory levels more effectively, providing a proactive approach to procurement. Navigating the Procurement Market Intelligence Journey Embarking on a procurement market intelligence journey is not straightforward. Over the last few months, our new and small team at Procurement Fresenius Medical Care has been taking practical steps to set up the foundations while delivering quick wins. Here is the journey so far: 1️⃣ Voice of the Customer (VoC): It all starts with listening to what Procurement stakeholders want and what matters most to them. 2️⃣ Baseline: Before diving in, it's important to know what tools and resources are already available, and how they are being used, at which cost. By setting up the baseline and comparing to the VoC results, the team gets a clear picture of what can be improved, eliminated, kept, and what's missing. 3️⃣ Definitions, scope, why, strategy, and action plans: ▪️ Aligning on terminology across the organization is key. ▪️ Defining why and where we're going and how to get there is crucial. ▪️ The team did that for: 3.1- Supply market analysis & intelligence. 3.2- From selecting market price indexes to building a market volatility matrix. 3.3- Cost analysis considering a wide range of options. E.g. Price revision formula, rate cards, cost breakdowns, should-cost models (TCO in the future). 3.4- Supplier profiling. 3.5- Supplier scouting. 4️⃣ Strategy for custom reports: It is fundamental to decide what kind of reports will be done in-house vs. outsourced. 5️⃣ Agreement with a Market intelligence key partner for self-service and custom advanced market intelligence. 6️⃣ Roadmap on data visualization, automation, AI with the aim to move to more predictive analytics. 7️⃣ End-to-End approach: All the planned actions in this area should be connected to risk management and category management uplift plans. 8️⃣ Communication, change management, stakeholder engagement. In conclusion, the procurement market intelligence journey at Fresenius Medical Care is about taking practical steps to allow category managers to make better decisions and strategies.
