UNGLAMOROUS Sports Management: One of the most important tasks a youth sports admin takes care of in preparation for a sport season is reserving / fulfilling practice time & location requests for their volunteer coaches. It's unbearably tedious & if not done thoughtfully, risks immediately turning your most precious resource (coaches) against you, leading to frustration & dissatisfaction. There's 3 components to every practice request: a desired day, a desired time & a desired location. Most organizations perceive shortages of space where none actually exist because they are attempting to solve an impossible puzzle... how to successfully fulfill every coach's desired trifecta. This is a fool's errand (there are only so many 6pm Tuesday time slots, right?) & all but certain to create frustration between the coach & the admin. There are several tactics that I've learned through the years that help re-shape this tedious process to bring sanity to your administrative life, while also setting more reasonable expectations with your coaching staff. - Reshape the psychological framing of practice reservation conversation by focusing on what you CAN do rather than what you CAN'T do. Ex: share the details of the space you HAVE instead of lamenting the space you DON'T have. Most claims of "space shortages" aren't a math problem, they're a framing problem. The lack of IDEAL spaces & time slots isn't a shortage. - Only a select few teams will get their trifecta (desired day, time & place). For everyone else, resist the urge to try to guess what their most important factor is, or you'll guess wrong 2 out of 3 times, leading to conflict & resentment. - INSTEAD, be open & transparent about the time slots / spaces you DO have & allow the coaches themselves to zero in and select a time that best suits them, weighing the tradeoffs & compromises involved. - Go ONLINE! The use of shared location calendars (Google Sheets, for example) allows every coach to see the puzzle you're trying to solve in real time. This allows them to input their own requests with full group visibility, rather than emailing or calling you blindly requesting times, only to be rejected. - Pre-set the time slots! This is a big one... admins should pre-set the time slots available in a location to prevent "time waste". If you have access to a location from 5pm to 8pm & you want teams to reserve a 1 hour practice time, you should pre-set the time slots as 5-6pm, 6-7pm and 7-8pm. Allowing a coach to reserve 5:30-6:30 literally prevents 1 team from practicing... you've effectively cut your space in half. Working thoughtfully through practice requests will help your admin team better serve more coaches & more teams, increasing their satisfaction & your program quality, while easing the administrative burden on yourself... a win-win. #sportsmanagement #youthsports #unglamorous #coaching

Access to outdoor space for play and exercise is key for a better quality of life for Victorians. And as our population grows, and people live closer together, that will become more important. The outdoor space on government school grounds is an under-utilised resource that can provide much needed recreational space for the community outside school hours. 1.7 million Melburnians cannot access a community sports field within a 10-minute walk. If all government school grounds were open, nearly half a million of those people would have access. While about two thirds of government schools do share grounds with the community, these are unevenly distributed. That's why Infrastructure Victoria's research report recommends the Victorian Government focus on supporting schools to help manage the costs of sharing school grounds with the community in areas where the benefit will be greatest. Read the full report, 'Getting more from school grounds: sharing places for play and exercise' here: https://lnkd.in/gJ3YYP28 I also invite you to register for the upcoming webinar, and join the discussion and live Q&A taking a closer look at the findings. Outdoor sports courts and ovals on state government school land use about 450 hectares of space in Melbourne alone – a total land value of about $6.6 billion. School grounds are an under-used community asset - especially in areas where there's limited open space. Our latest research report, 'Getting more from school grounds: sharing places for play and exercise' found that sharing more school grounds with the community after hours can benefit many more people in cities like Melbourne. And, as regional cities continue to grow, people in Geelong, Ballarat and Bendigo can also benefit. Our research found 1.7 million Melburnians cannot currently access a community sports field within a 10-minute walk. If all government school grounds were open, nearly half a million of those people would have access. This is not new. Most government schools are already open to the community outside of school hours. But their distribution is uneven across Melbourne. Schools in the outer northern, western and south-eastern suburbs are less likely to be open. What's more, the research showed people in these suburbs are also less likely to have alternative sports grounds nearby and less likely to get a healthy level of regular exercise. Our recommendations to the Victorian Government focus on supporting schools to help manage the costs of sharing outdoor grounds with the community.
