𝗜𝗳 𝗲𝘃𝗲𝗿𝘆𝘁𝗵𝗶𝗻𝗴 𝗶𝘀 𝗮 𝗽𝗿𝗶𝗼𝗿𝗶𝘁𝘆, 𝗻𝗼𝘁𝗵𝗶𝗻𝗴 𝗮𝗰𝘁𝘂𝗮𝗹𝗹𝘆 𝗴𝗲𝘁𝘀 𝗱𝗼𝗻𝗲. 𝗦𝗼 𝗵𝗼𝘄 𝗱𝗼 𝘆𝗼𝘂 𝗰𝘂𝘁 𝘁𝗵𝗿𝗼𝘂𝗴𝗵 𝘁𝗵𝗲 𝗻𝗼𝗶𝘀𝗲 𝗮𝗻𝗱 𝗽𝗿𝗶𝗼𝗿𝗶𝘁𝗶𝘇𝗲? I recently worked with a client to develop a dead-simple system for prioritizing their projects. Here’s a quick breakdown of the process: 𝗦𝘁𝗲𝗽 𝟭: 𝗗𝗲𝗳𝗶𝗻𝗲 𝗬𝗼𝘂𝗿 𝗣𝗿𝗶𝗼𝗿𝗶𝘁𝗶𝘇𝗮𝘁𝗶𝗼𝗻 𝗖𝗿𝗶𝘁𝗲𝗿𝗶𝗮 Make a list of priority questions such as: • Does this project align with our strategic goals? • How urgent is it? • Who benefits, and by how much? • What is the deadline? 𝗦𝘁𝗲𝗽 𝟮: 𝗕𝘂𝗶𝗹𝗱 𝗮 𝗣𝗿𝗶𝗼𝗿𝗶𝘁𝗶𝘇𝗮𝘁𝗶𝗼𝗻 𝗠𝗮𝘁𝗿𝗶𝘅 For each criterion, assign points (e.g., a scale from 1-5), and weigh the criteria based on importance. Not every project is created equal, so this matrix gives you a clear prioritization value for each. 𝗦𝘁𝗲𝗽 𝟯: 𝗠𝗮𝗽 𝗢𝘂𝘁 𝗬𝗼𝘂𝗿 𝗣𝗿𝗼𝗰𝗲𝘀𝘀 What does your project pipeline look like? Identify the steps for receiving, accepting, and assigning projects. Then, figure out where prioritization fits into those steps. It might not be a one-and-done deal; prioritization could be spread across multiple stages. 𝗦𝘁𝗲𝗽 𝟰: 𝗧𝗲𝘀𝘁, 𝗧𝘄𝗲𝗮𝗸, 𝗥𝗲𝗽𝗲𝗮𝘁 Roll out the system, see how it holds up for a week or two, and review it. The beauty of this method? You can tweak the matrix and process as you go until it clicks perfectly for your team. 𝐒𝐭𝐚𝐠𝐞 𝟐: 𝐏𝐥𝐚𝐧𝐧𝐢𝐧𝐠 – 𝐓𝐡𝐞 𝐁𝐥𝐮𝐞𝐩𝐫𝐢𝐧𝐭 𝐟𝐨𝐫 𝐒𝐮𝐜𝐜𝐞𝐬𝐬 🗺️ Now that we have defined our project’s purpose in Stage 1 (Initiation), it is time to dive into the heart of the project: Stage 2 – 𝐏𝐥𝐚𝐧𝐧𝐢𝐧𝐠. Think of this stage like drafting a blueprint for a building—you cannot just start hammering away; you need a clear plan. This is where we turn our ideas into concrete actions and create the roadmap that will guide the project from beginning to end. Here is where I focus on answering key questions: ✅𝐖𝐡𝐚𝐭 𝐚𝐫𝐞 𝐰𝐞 𝐚𝐢𝐦𝐢𝐧𝐠 𝐟𝐨𝐫? (Clarifying our objectives) ✅ 𝐖𝐡𝐚𝐭 𝐧𝐞𝐞𝐝𝐬 𝐭𝐨 𝐛𝐞 𝐝𝐨𝐧𝐞?(Breaking down goals into manageable tasks) ✅𝐖𝐡𝐚𝐭’𝐬 𝐨𝐮𝐫 𝐭𝐢𝐦𝐞𝐥𝐢𝐧𝐞? (Setting deadlines for when tasks should be completed) ✅ 𝐖𝐡𝐚𝐭 𝐫𝐞𝐬𝐨𝐮𝐫𝐜𝐞𝐬 𝐝𝐨 𝐰𝐞 𝐧𝐞𝐞𝐝? (People, tools, budget, and anything else required) Having a well-thought-out plan means we can set clear expectations and minimize surprises down the road. A project without a plan is like driving somewhere new without a map—you might get there, but it may not be where you wanted! In this stage, we create the foundation for success by: • Setting clear project goals. • Identifying deliverables and creating a structured breakdown. • Estimating time and resources for each task. • Developing a detailed schedule. And of course, we cannot forget about risks! We also build a 𝐫𝐢𝐬𝐤 𝐦𝐚𝐧𝐚𝐠𝐞𝐦𝐞𝐧𝐭 plan to outline how we will respond if anything goes off track.
