Some women may not immediately or intuitively consider leadership, motherhood, and project management in the home as “qualifications, core competencies, or workplace skills” and yet I find it quite remarkable the various roles and responsibilities they’ve held. Many women who run their homes as their fulltime work are multi-tasking magicians (like my own mother): ✔️ team leader ✔️ financial planner ✔️ purchasing agent ✔️ facility manager ✔️ accounts payable coordinator ✔️ logistics specialist ✔️ fleet manager ✔️ human resources ✔️ emergency response director ✔️ executive assistant - scheduling appointments, - managing multiple calendars, - vacation travel agent, - event planner, etc. And yes even… ✔️ hostage negotiator (3yr old next to candy in a check-out isle) 🫣 It is honorable, demanding, yet fulfilling work, easily transferrable to employment outside the home, if the need should arrive or the desires of a heart shift. As Executive Assistants, we wear many hats and juggle multiple tasks daily but how do we manage to get everything done efficiently? The answer lies in prioritization! Just like the popular economic concept of "SCALE OF PREFERENCE," we must list our tasks in order of importance and urgency. By prioritizing, we: - Focus on high-impact tasks first - Manage our time effectively - Reduce stress and feel accomplished Continue to assess and adjust your priorities to stay on top of your duties. In honor of Administrative Professionals’ Day, I’m sharing my top three guiding principles I’ve learned as an admin. I began my journey at just 16 supporting the administrative functions of a local fitness center and at 23 was entrusted with my first Executive Assistant position. My first big job taught me a lot about decorum, service and professionalism. I grew up quickly in my fast-paced environment along with a boss who expected excellence. I don’t always get it right but in my career I’ve made it a point to do the following: 📝 Have a Servant’s Heart - It has always brought me great joy to make other people look good. I enjoy problem-solving, working toward goals but I don’t always have to be at the forefront. I look for ways to make improvements and enjoy doing what it takes to make things happen! 📝 Value the Art of the Follow-Up - I have found that while at first it can be annoying to others, team members begin to value someone who can politely remind them of tasks and items needed. We live in a busy time - expect to follow up! 📝 Know your Executive - It may take years but getting to know the people you support helps you better align your processes and even anticipate his/her needs. Have an open communication channel, learn from mistakes and own your trusted position. It’s not a career path that people usually carve out for themselves, but I can’t tell you the importance of having a strong, emotionally intelligent and invested admin on your team. The Versatility of the Chief of Staff Role The lines between a Chief of Staff and an Executive Assistant often blur, and that’s what makes this role so dynamic. As a Chief of Staff, I’ve worn many hats—some days, I’m handling travel, calendar management, and email control, just like an Executive Assistant. On other days, I’m driving business operations, managing day-to-day tasks, and overseeing strategic initiatives that shape company outcomes. The beauty of this role is the variety. We don’t just focus on one function—we get to be a connector, a problem-solver, and a strategic planner all in one. We have the opportunity to be: An Executive Assistant (handling logistics, calendar coordination, etc.) A Recruiter (identifying top talent for the team) An Operations Manager (ensuring smooth business processes) A Project Manager (leading initiatives that drive results) And the list goes on. This level of involvement allows us to have a broad impact on the success of the business, while honing a diverse skill set. Stop seeing this as a bad thing or judging by titles. The Chief of Staff role isn’t defined by one task—it’s about jumping in wherever needed to make things happen. The ability to flex between different responsibilities is a strength, not a weakness. It’s a chance to build a diverse career and contribute meaningfully to a company’s success. What exactly is the difference between an Administrative Assistant and an Executive Assistant? If I collected a dollar each time I have had to explain, I should own a yatch now (of course I'm exaggerating) But wait, what really is the difference? Many people/organizations use these titles interchangeably, but each role has its own unique responsibilities and requirements. The job descriptions I have seen ehnnn, that's a story for another day. In my experience, Executive Assistants (EAs) are strategic partners to senior leaders, handling complex tasks and confidential matters (related to the company biko). They're often the right-hand person, anticipating needs and making informed decisions. Over time, many EAs have progressed and are still progressing to Chief of Staff, C-suite, Director positions 💪 Administrative Assistants, on the other hand, focus on managing day-to-day operations, coordinating tasks, and ensuring the office runs smoothly.
