Beyond the Surface: Mastering Audit Responses for Food Safety Success . In the high-pressure environment of an audit, it’s not uncommon for auditees to stick strictly to what’s asked, often opting for a quick “NO” rather than digging deeper. It’s understandable—thinking on the spot under scrutiny can be challenging. . However, this can create a stark contrast when it comes to addressing non-conformities (NCs), where the pressure can feel even more intense. . In Food Safety Management Systems (FSMS), it’s crucial to recognize that different Food Business Operators (FBOs) have unique approaches to controlling hazards. Rather than taking an auditor’s question at face value, the real key to success is understanding the essence of the question and aligning it with the standard's requirements. . Here’s how to turn audit pressure into a chance for success: . 🔍 Understand the Essence: Look beyond the surface of the auditor’s question. Grasp what they’re really asking and how it relates to your FSMS. . 📚 Match with Standards: Ensure your responses are aligned with the specific requirements of the standard, not just the literal question. . 🛠️ Showcase Your Approach: Demonstrate how your unique hazard controls and practices meet the standards effectively. . 🚀 Prepare for NCs: Anticipate potential non-conformities and be ready with clear explanations on how you’ll address them. . Audits can be a roller coaster, with moments of intense scrutiny and rapid-fire questions. Embrace these moments as opportunities to showcase your commitment and thorough understanding of food safety. With the right preparation and mindset, you’ll turn the audit process into a demonstration of your dedication to building safer food systems. Remember, every challenge in the audit process is an opportunity to shine. So, stay sharp, stay prepared, and make sure your answers reflect not just compliance, but a deep understanding of food safety. 🔗 Ready to master the art of audit responses? 🔍 Reflecting on my journey as a Food Safety Hygiene Coordinator 🔍 When I first started my career as a Food Safety Hygiene Supervisor, my mission was crystal clear: inspect, monitor, and implement corrective actions to ensure the highest standards of food safety. My days were filled with giving instructions to production supervisors, emphasizing the importance of implementing prerequisite programs. As I dove into my role, I realized that being tough on everyone was necessary to uphold these standards. Some misunderstood my intentions, thinking I was solely after them. Faces would change when I appeared in their sections, whispers about my approach would circulate. Some even labeled me as a "bad person." But in the grand scheme of things, my focus was on the greater good – the benefit of the company, myself, and ultimately, them. Fast forward to today, and the narrative has shifted. The team now comprehends the significance of my work, and cooperation is at an all-time high. It's true that sometimes you need to be firm to instigate change. While resistance may be present, consistency remains the linchpin. Through perseverance and a blend of kindness and toughness, the tide turned, and compliance became the norm. In the end, my journey exemplifies the power of determination and resilience. Embracing challenges, fostering understanding, and standing firm in my convictions have led to a workplace where food safety is paramount and collaboration thrives. Remember, change may not come easy, but with unwavering commitment, it is always within reach. 💪🌟 #FoodSafety #HygieneSupervisor #Resilience #Commitment #Teamwork

*📢 The Role of Auditors: Partners in Food Safety and Continuous Improvement* As auditors, our role is not to judge or decide the fate of those we audit. Instead, we are here to collaborate, using our expertise to help enhance food safety programs and practices. Audits should be a collaborative journey focused on identifying how the auditee meets requirements, not just pointing out shortcomings. 🔍 Embracing the True Role of Auditors: Partners in Progress: Our primary goal is to assist auditees in improving their food safety practices. We aim to provide constructive feedback and insights that drive continuous improvement. Open-Minded Approach: We understand that there are many ways to achieve compliance. It's crucial to be open to different methods and recognize that auditees have a deep understanding of their businesses. Focus on Strengths: While identifying areas for improvement, we should also highlight the strengths of the auditee’s program. This balanced approach fosters a positive environment for growth. 🌟 Fostering Collaboration and Learning: Constructive Engagement: Engage with auditees in a way that encourages dialogue and knowledge sharing. Together, we can explore new ideas and solutions. Encouraging Innovation: Support auditees in finding innovative ways to meet food safety standards while respecting their unique operational insights. Continuous Improvement: The ultimate goal of any audit is to facilitate ongoing development and enhancement of food safety practices. 🤝 Let's Work Together: By working collaboratively, auditors and auditees can build stronger, safer food safety systems that benefit everyone involved. 📣 Join the Conversation: I invite fellow auditors and food safety professionals to share their experiences and insights on fostering positive audit experiences. Let’s learn from each other and strive for excellence in food safety. #FoodSafety #AuditCollaboration #ContinuousImprovement #QualityAssurance #InnovationInFoodSafety #PartnershipInProgress

🎯 Food Safety Certificated Organizations are required to perform this study for non-conformances that are raised during audits, on process failures within the supply chain or on customer complaints. Speaking of no other thing than ROOT CAUSE ANALYSIS (RCA) RCA is a collective term of various structural methods that can be used to determine "how" and "why" an issue occurs aimed at allowing a more effective corrective action. In my recent post last week, I cited that I will be talking about the #5WHY as a method of RCA this week. Catch a glimpse of the post here 👇👇https://lnkd.in/dusxahAv Now to dig deep into the Root Cause of Non-conformances or issues, Please carry out this RCA process by 1️⃣ Defining the incident. 2️⃣ Categorizing the immediate cause. 3️⃣ Determining the Root Cause. 4️⃣ Defining the Corrective actions 5️⃣ Reviewing the process. An example of #5WHY 👇👇👇 A LONG QUEUE IN AN ICE CREAM SHOP 📍To define the incident 👉 The long queue in the ice cream shop, who are the people queued in the ice cream shop? Staff or Customers? Customers✅ 📍To categorize the immediate cause 👉 what basic system broke down that led to the long queue? Being short staffed (few staff) ✅ or Incompetent staff (lack of speed) ✅ I will emphasize the first reason. 📌 Being short staffed 📍To determine the Root Cause 5 why's 👇👇👇 📌 Why was there a long queue? It was a peak period and the customers were not attended to on time. 📌 Why were they not attended to on time? Because the ice cream shop was short staffed. 📌 Why was the ice cream short staffed? The staff on duty were just 5 in number. 📌 Why were there only 5 staff? Only 5 staff were assigned to a shift. 📌 Why only 5 staff for a shift? Because the recruitment plan allows only 5 per shift. 📌 Why did the management allow only 5 staff per shift? Because the recruitment team didn't plan for peak periods. 📌 Why didn't the recruitment team plan for peak periods? THE ROOT CAUSE 👉 knowledge gap. Note; 5 why's is just a rule of thumb and there may be more or less questions depending on the particular situation. Finally, 📍Review by updating operating procedures and training of personnel as your corrective action I decided to share with my fellow Food Safety Professionals as we are in the realm of FSSC 22000 V6.0 Audit.😄 Remember, as your Audit Summary is shared, if you have a NON-CONFORMITY you are expected to carry out correction, RCA and corrective action (s) within a timeline. All the best 👍 #foodsafety #foodsafetyauditing #ISO22000 #fssc22000 #compliance #rootcauseanalysis #nonconformity #correctiveactions #5WHY

Food safety isn't just a professional topic for Doug Powell and me; it's a passion we both share. In our recent discussion, we touched on one of our favourite topics: food safety culture. You might have come across our collaborative article, "Building a Food Safety Culture" (Powell, Thomson and Jeyakumaran) published in FoodProcessing.com.au, where we explored the nuances of this critical concept. You may prefer to watch our video clip on the Think ST Solutions YouTube channel. Doug has a unique way of breaking down ideas and his analogy for food safety culture is both insightful and relatable. He describes it as akin to going to the bathroom: washing hands with soap and drying with a paper towel—proper handwashing necessitates the right tools. When someone skips this crucial step, it's about holding them accountable and saying to them to do the right thing. Food safety culture is about everyone keeping each other accountable. It's about fostering an environment where every individual understands their role in upholding high standards of food safety and feels empowered to speak up when they notice something is not right. Just like in Doug's analogy, where a simple reminder to "wash your hands" ensures everyone's well-being, in a food safety culture, everyone plays a part in maintaining a safe and healthy environment. Advocating for a food safety culture is more than a collection of rules and regulations, but is a collective commitment to excellence and integrity in every aspect of your endeavours. * Doug Powell is a former professor of food safety in the US and Canada. #foodsafety #foodsafetyculture #foodservice #hospitality #chefs #culinaryleaders
