I always tell my architect friends “Never give away too much before the contract is done.” A new project, a new client, a new design— That's it! We get excited! We want to work on it, bring the best out of it. Brainstorm, design, execute—it is intoxicating! But sometimes, enthusiasm can go overboard. Overwhelmed by excitement, I've gone above and beyond, offering extra revisions and unsolicited advice. It felt like the right thing to do, but it was a costly mistake. The harsh reality is that a project isn't ours until the contract is signed. While providing value is essential, giving away the entire blueprint upfront is detrimental. It undervalues our expertise, potentially diminishes client appreciation, and who knows? You might be emotionally invested in projects that may never materialize. The key is to focus on the sale! When You See the Client’s Budget After Hours of Discussing Their Dream Project... 😳 As architects and consultants, we've all been there. You spend hours, sometimes days, delving deep into a client's vision, only to find their budget doesn’t align with the grand plan. The initial shock is one thing, but handling that awkward conversation can be even tougher to some of us. So how do we handle the inevitable talk about fees, costs, and prices without derailing the relationship? From my experience, I find the Best Approach to be: Educate, Don’t Just Negotiate. You know your value better than anyone else. It’s your responsibility to help the client understand why quality design, thoughtful planning, and careful execution come at a certain cost. ✔️ Be transparent: Break down the costs and explain how they impact the final outcome. Educating your client helps them see the bigger picture. ✔️Show the value: Emphasize the long-term benefits of investing in good design. This is about more than just aesthetics, it's about function, sustainability, and future-proofing. ✔️Guide them with options: Offer different solutions that can fit within their budget without compromising too much on quality or design integrity. Remember, you’re not just a service provider, you’re a partner in bringing their vision to life. When clients request significant changes to a design, we ensure project feasibility remains intact by carefully managing expectations and adjusting plans without compromising the overall vision or budget. We start by clarifying the scope of the requested changes. We sit down with the client to explain how these modifications could affect the project timeline and budget. This open conversation helps set realistic expectations and ensures that everyone is on the same page. Next, we offer alternatives. If the requested changes might negatively impact feasibility, we propose design tweaks that still meet the client's goals but keep the project running smoothly without blowing the budget or timeline. Additionally, we document everything. Every single change, adjustment, or new request is recorded in detail. This ensures that there are no misunderstandings later on, and everyone is clear on what’s been agreed upon. No beating around the bush! At every initial consultation, I’m very upfront with my clients on the details of the project, price, and process. What often happens in architecture is that the clients come with specific requests, such as a project end date, budget, etc. Often, those requests are feasible and I gladly tell clients that they can be accommodated. Other times, the expectations are not realistic! Instead of false promises, I am very upfront and don’t accept any job I think I’m not capable of. In the proposal, I highlight the exact price and REALISTIC time-frame.* The client can then decide if they’d like to go ahead or not.
