Artisanal explores a common issue facing Event Producers...How do you find the right venue for your client's flagship event? Finding the perfect venue for a flagship event can be a challenging task for any event production team. However, with the right approach, you can secure an ideal location that elevates your event's success. Start by clearly defining your event's needs, considering factors like expected attendance, desired atmosphere, technical requirements, catering capabilities, and accessibility. Establish a realistic budget that accounts for not just the venue cost, but also additional expenses like equipment rentals or staffing. Begin your search well in advance, ideally 6-12 months before the event date, to ensure you have ample time for negotiations and your choice of venues. Don't hesitate to leverage your professional network for recommendations – sometimes the perfect space comes through word-of-mouth. Think creatively and consider unique locations that align with your event's theme, such as museums, warehouses, or outdoor areas. Once you've created a shortlist, schedule in-person visits to get a real feel for each space. During these visits, ask pertinent questions about setup flexibility, restrictions, included amenities, and contingency plans. When you've found your ideal venue, don't be afraid to negotiate terms. Many venues are willing to work with you, especially for off-peak dates. Ensure all agreed-upon terms are clearly stated in the contract before signing. I have seen tremendous changes in the Live Event Industry in the past 30 years. Here are a few areas I expect to see continued changes in the coming years. (random order) 1. Technology. Obviously an area with many facets. Marketing, Ticketing, Safety, the areas where technology will impact live events is endless. My advice, embrace it, do not try to continue with the "old way". You can't stop it. 2. Event Production. The audience is always looking for something new, something they haven't seen before, and something that improves the experience. Stages will improve, the audience will become an ever bigger part of the show, and artist/fan interaction will become close than ever. 3. Audience options and experience. People want options and to make their own decisions. People will pay for what they want. I think audience experiences will become ever more customizable. It's already happening. Do you just want to get into the event? OK, here you go. Do you want to get into the event and.......? you name it, you're going to be able to do it. There will be almost no limits to the options, just a matter of paying the price. 4. Even more diverse entertainment options. As the internet has made so many things simply a click of the button, it allows for the consumer to have broader tastes in music and entertainment. What was once considered a "niche" may still fly under the radar for the general public, but it will develop vast audiences almost unnoticed by others. "Niche" entertainment will fill arenas and be a business worth billions. 5. Logistics. One of the things that holds people back from participating is the fear of the "hassle" of certain logistics. Traffic and Parking, restrooms, dining options, security etc. These things will all improve with time and there will be less of a barrier to people being part of the events. 6. Food and Beverage. More money is spent on food and beverage than any sport or entertainment option. Everyone eats, and everyone loves great F&B options. The opportunities to be creative, provide options, and generate additional revenue are endless. We've seen this grow immensely already, and it is just beginning. When I got into this business I was told "basically event event in human history is just an excuse to sell beer." Turns out, it's true, but it is become far more sophisticated and prolific. Obviously, I've left out a ton of obvious areas here as well. Ticketing, Social Media and Marketing to name a couple. Simply too much ground to cover in a Saturday post. :-) I feel like I am missing even more areas than I am covering. It's going to be fun watching what is coming down the road.
