Looking for a venue for your event but need some tips on choosing the best option? ✨ Don't stress! Here are 3 key factors to consider: 📍 Guest List & Location: ️How many people are coming? Where are most of them traveling from and what is the ratio of out of town guests vs locals? Choose a venue that's accessible and convenient for your attendees from a transportation perspective and make sure to scout out nearby hotels if overnight accommodations are required. 🎵 Event Vibe & Space: Is it a formal gala or a casual meetup? The venue's ambiance should match the event's tone. Consider the space - do you need room for a dance floor or a stage? In the case of bad weather, will the outdoor space require tenting? Booking the right venue can make or break your event, and it all starts with asking the right questions during the tour. On this last day of 2024 here are 24 ESSENTIAL questions that will help you uncover the perfect fit for your event. From parking to policies, we cover all your bases. Don’t sign the contract until you’ve checked this list! 1. Is the venue well-known or a hidden gem? 2. What parking options are available—street parking, a garage, or valet? 3. What are the rental options: full-day buyout or partial rental? 4. Are setup and cleanup hours included in the rental time? 5. Can you set up the day before to save time on the event day? 6. What are the capacities of each room? Standing vs sitting? 7. What layout options do they have or recommend to optimize the space? 8. What is included in the rental fee—tables, chairs, A/V equipment? 9. Are there onsite staff to assist during the event? 10. What are the catering and bar service options? BYOB? 11. What permits and insurance do vendors need to provide? 12. What payment plans do they offer? How much is due to reserve? 13. What is the cancellation policy, and is any portion of the payment refundable? 14. How does the venue handle damages or accidents? 15. Does the space work for your program? (panels, performances, etc) 16. Are there restrictions on noise levels or event end times? 17. Is the venue ADA-compliant and accessible for all guests? 18. Are there any limitations on decor? About half of surveyed planners said they were cutting back on props and décor, which is 1% more than said the same in Encore’s last Planner Pulse survey". ➡️"Entertainment. Forty-nine percent said the live DJ at the evening reception and other entertainment was an element they could slim down without harming the overall program’s effectiveness. However, this is 9% fewer than those who targeted entertainment for cuts than in the last survey, so perhaps entertainment is gaining a foothold on at least some event budgets." ➡️"Off-site events.
