Nightmare Scenario: You’ve finished a massive restoration job—sleepless nights, long hours, and enormous sums spent. You submit your invoice, confident in your work, only to hear this from the adjuster: “Charges not approved due to lack of documentation.” The seemingly endless demands for more documentation can make us feel like we're fighting a losing battle. We need the discernment to distinguish the reasonable demands from the unreasonable ones, and we need the confidence to stand our ground. But first, we need to get our documentation house in order. How can we prove what work we did if our records are incomplete, disorganized, or missing details? Here’s the BIG Question: What separates documentation that gets paid from documentation that gets denied? The Answer: We need to finetune our understanding of what the industry standards dictate in terms of documentation. We also need to understand the legitimate needs and limitations of the adjuster. Adjusters are tasked with reviewing restoration work objectively and ensuring costs align with industry standards. While their requests can feel adversarial, it’s important to remember that comprehensive documentation protects us as much as it informs the adjuster. Missing or vague records invite adjusters to question charges—and once that doubt creeps in, payment delays and disputes follow.
