Raise your hand if it feels like managing invitations and RSVPs is the worst part of event planning 🙋 Good news: the days of manually emailing, accidental “reply-alls” and digging through the depths of your inbox are over! Here’s how I use Relay.app with my Google Workspace tools to create a powerful system of automation that saves me time and preserves my sanity. 1. Connect your inbox and your guest list to Relay.app. 2. Choose whether you want to manually trigger your invitations or set them to send on a specific date. 3. Customize your email contents. Add graphics, links, and attachments if you like! 4. Add a “wait for reply” step to capture your guests’ responses. 5. Set up an AI assistant to read the replies and fill in your spreadsheet with the RSVPs as they come in. Today has been an “interesting” day. I was running an online data strategy event on Teams for a law firm in London. We had two practice runs yesterday which we did learn from, but which had gone smoothly. Today however was altogether different. As per usual with Teams I entered all the details early (20 minutes before the event), as it seems to take that long to wake up on my Mac (does it work on Seattle time only?). I was assured by my computer that the organiser knew I was in the waiting room, so all seemed good to go. However, as the time arrived to kick off, I was still waiting. I phoned a colleague who said I was nowhere to be seen. So I left the meeting & rejoined…no joy, others then sent me the same link…again no joy. So I deleted Teams & re-installed…guess what…no joy. I then sent the invite to my personal email. That actually worked, but with no video. I persisted with this for the duration (video did strangely kick in…but from my iPhone nearby). It took a full 50 minutes to get it working, and be able to present - even though we had done 2 walk-throughs the day before. What had changed? Nothing. Was I warned, no. We are now moving our work video conferencing platform away from Zoom to Teams…am I going to have to plan on setting up 50 minutes in advance for every call? I sincerely hope not, as my efficiency would suffer astronomically. Come on Microsoft sort your s/w platforms out. I’ve unfortunately also had to install Outlook to make our new Teams solution work, which is something I will only use for meeting set-up, the interface seems as old & clunky as when I had to use it as a Microsoft employee…
