How To Host A Successful Webinar In 2024

As an online business owner, I have hosted lots of webinars and have participated in many as a guest. I'm aware that small businesses struggle with it, and that's why I want to show you how to host a successful webinar in 2024.

Define Your Goals and Audience

This is the first step to hosting a successful webinar. Ask yourself what you want to achieve with your webinar. Is it to educate your audience, create awareness about your business, build brand authority, or generate leads and sales?

Having the correct answer to this question will help you identify who your target audience is and decide how best to tailor your content to their needs and pain points.

Choose A Relevant Topic

The topic you chose can make or mar your webinar. Choose topics that relate to the problems your target audience faces that your competitors have not covered.

In my last webinar with my Pinterest marketing audience, I considered that many Pinterest accounts, especially new ones were shadow-banned, so I decided that my webinar topic would be ‘ How To Resolve Pinterest Account Shadow Ban”.

A lot of my audience participated because it was a problem many of them faced then. Also, I achieved my goal, which was to have them subscribe to Pinterest marketing tools I promote. So paying attention to industry trends is one of the ways to identify relevant topics for your webinar.

Select a Date and Time

Choose a time that suits your audience so it becomes convenient for them to attend your webinar. If you have a global audience, consider mid-week like Wednesday and Thursday. Also, consider the time zone if you have a global audience.

Choose a Suitable Webinar Platform

I was once a guest in a webinar and the host wasted over 10 minutes trying to share their screen to make presentations. It was so bad that some of the attendees had to leave. When she managed to do that, she apologized for the glitches.

This is a common problem some webinar platforms face, especially when you have up to 100 participants. This is to say that the webinar platform you choose can impact your webinar. I always used Livestorm not just because it is cheap but because its features are top-notch. Webinar Ninja is another webinar platform that I tried and recommend to beginners who prefer to pay per attendee.

Create a Detailed Outline and Content

Have a simple and clear outline and structure your presentation with visuals and key points. Create slides, videos, infographics, charts, and even memes to make your presentation interesting, valuable, and easy to follow. Boring content is a turn-off and doesn't speak well of you as a business.

Set Up Registration Page

Create a user-friendly registration page for your webinar. Your goal here is to collect the personal details of your potential participants like name, email address, and phone while telling them the value they will derive from your webinar.

Promote your Webinar

Use different marketing channels like email, blog, YouTube, TikTok, and Instagram to promote your webinar and set a reminder to your audience that registered. Email marketing has always worked for me when it comes to promoting my webinar. I have built a cordial relationship with my audience there, so it's easy to have them register.

Test Your Technology

Test your technology before the webinar. From your microphone, PC, and webinar platform to internet connection, ensure they are working to avoid technical issues during your webinar.

Engage During The Webinar

Let your audience ask questions during the webinar and respond to them. Use interactive tools like Q&A, polls, and chat to engage them throughout the webinar. This is one of the best ways to build relationships with your participants and have them take the desired action.

Follow Up

After the webinar, follow up with participants to know how they feel about the webinar. It shows you care about their problems. Share a link for them to access the webinar resources and encourage feedback using a short survey. Add a CTA like (downloading an e-book, or booking a consultation).

Analyze Performance

Take a look at your webinar metrics like attendance rate, conversion rate, and engagement level. This tells if you achieved your goals and also serves as feedback to improve future webinars.

What platform is best for webinars?

From my experience, Livestorm is the best platform for webinars. Be it pre-recorded or on-demand webinars, it has advanced features for it. You can have up to 3000 live attendees, up to 25 simultaneous speakers, invite team members at no cost, have 1000 replay viewers, use Zapier to integrate with other marketing platforms, restroom content, have live interpretation to breach the language barrier gap, and lots more. And interestingly, it has a free plan that doesn't require a credit card to sign up.

Is there a free webinar platform?

No webinar platform is totally free.  What many of them offer is a free plan in the case of Livestorm which is my favorite and others like Easywebinar and ever-webinar offer free trials.

How much does a webinar platform cost?

Livestorm which is one of the low-cost and affordable webinar platforms for small businesses, costs $79/month. That is just a starting price for up to 4 hours sessions, 100 live attendees, and unlimited team members. The higher your active contacts, the higher you pay.

Can you use Zoom webinar for free?

Yes, you can use Zoom webinar for free. However, it comes with limited features which can frustrate you and be a barrier to having a seamless webinar session. For example, the free Zoom plan allows a maximum of 100 attendees, and you can host a webinar for a maximum of 40 minutes. Anything beyond 40 minutes will cut you off.

So if you plan to use Zoom's free plan for webinars, be sure to have under 100 attendees and ensure your webinar session is concluded within 40 minutes.

Is Microsoft Team webinar free?

Microsoft Team webinar is free, but you must first be on the paid plan of Microsoft Office 365 to access the Teams Live Event feature, which has webinar capabilities.

Although Microsoft Team has a free plan like Zoom, it doesn't offer the Teams Live Event feature, which allows you to host webinars and other online events.
