25 Shortcomings of Deltek Costpoint & 2 Better Alternatives

Background

Corporate finance and accounting teams should always have the best available ERP systems to facilitate their work. Many companies continue to purchase or utilize ERP systems that are just not best in class.  Someone recently asked what my thoughts about Deltek Costpoint. My answer was simple….Over my 20+ year career I have utilized a variety of accounting, finance, budgeting and ERP systems but Deltek Costpoint is by far the worst with so many shortcomings. Deltek Costpoint is primarily by Government Contractors (GovCon), government technology contractors and defense sectors firms.

Firms that do business with the US federal government must maintain their accounting records in a manner approved by the Defense Contract Audit Agency

(DCAA) and other governmental oversight sets of rules such as federal accounting regulations (FAR) and cost account standards (CAS). The US government requires its contractors to collect and allocate costs in certain ways. Government contractors are required to keep track of several contracts simultaneously, meet the rules for different types of contracts, and be consistent in accounting for several indirect costs.

Deltek was founded in 1983 by Don deLaski, an accountant from northern Virgnia who wanted to develop an accounting software package to facilitate compliance with complex rules for US government contracting. Deltek began development of Deltek Costpoint in 1992, and first commercially released the product in June 1995.  Deltek markets Costpoint to both the large enterprise and small and medium business (SMB) markets. (1) The problem is the software has so many shortcomings. People using Costpoint work hard but are not working in a smart fashion because the underlying software is not designed to make people work in a smart manner. I have noticed that firm’s using Costpoint seem to have much higher turnover rates in their accounting and finance departments as users become frustrated with the limitations. I felt compelled to write this article to spread the word so that companies are better informed and in the future make decisions to purchase best-in-class ERP systems.

Shortcomings

Based on my experience, conversations with other people and online reviews below are 25 shortcomings of Deltek Costpoint:

2 Better Alternatives

The number one reason why so many companies continue to use Deltek Costpoint is simple ignorance. They have operated so long with Deltek Costpoint that they don’t know that there are better alternatives out there that are DCAA compliant. Two other common reasons are time and money. Firms do not want to spend the time or money to implement an ERP system that truly has the functionality and capabilities that they need.

Some other better alternatives to Deltek Costpoint include Uanet and Jamis. But these also have some of the same shortcomings listed above as Costpoint.  While Deltek Costpoint, Uanet and Jamis are all DCAA compliant for government contracting none of them are Sarbanes-Oxley & SEC compliant nor ideal for companies that also are commercially focused or that are publicly traded.

Recently, there has been a wave of private equity firms purchasing small to medium sized government contractors many of which use Deltek Costpoint. Private equity firms typically have unique, extensive and highly customized enterprise-wide financial reporting requirements that Deltek Costpoint is just not designed to handle or deliver. These firms would be better off converting to another ERP platform that is DCAA compliant. I strongly believe in utilizing only best-in-class ERP solutions like NetSuite. Please see my other article at the link: 2 Options for Making NetSuite DCAA Compliant for Government Contracting

There are two NetSuite third-party applications that make NetSuite DCAA as compliant Costpoint but give you much better functionality and capabilities long-term:

1) Carvel-Partners DCAA Compliance SuiteBundle for NetSuite

Conclusion

Deltek remains a company with project management & cost accounting DNA strands that pervade all of its products including those developed in-house or those later acquired. Deltek has such a niche and captive customer market that it really doesn’t have any incentive to innovate. The company does not seem to be fixing many of the shortcomings listed above in a timely manner as people continue to complain about these issues year after year. Companies need to make better decisions to purchase best-in-class ERP systems if they are going to remain competitive in the long-term and retain top talent.  Please feel free to reach out to me if you have any questions.

Based on my experience Deltek Costpoint is the worst accounting system ever invented by man and there are better ERP platforms out that are DCAA and goverment contracting compliant. Deltek Costpoint is essentially a project & cost management tool masquerading as an ERP Platform and is cumbersome and difficult to use. Deltek Costpoint sucks as an ERP system and lags years behind its competitors in functionatlity, ease of use and suffers from a pathetically poor user interface.
