ChatGPT for Teams & CoPilot Add-Ons Level the Field for Small & Medium-Sized Businesses
The rollouts of ChatGPT Plus for Teams and Microsoft's additional CoPilot offerings could be game changers for small and medium-sized businesses that have been sitting on the sidelines until now.
Finally, Data Security for Smaller Orgs
At $25 or $30 per license monthly, and available in quantities as small as two seats, these subscriptions overcome one of the big objections to using free AI tools: small businesses don't want to give up ownership of their proprietary data. Copilot is an add-on to Microsoft365. See more CoPilot options here.
Now that smaller companies can keep their data private, they're faced with the hard work of allocating limited IT resources, budgets, and teams to AI implementation. What use case takes priority? Crunching data to personalize customer journeys? Building a knowledge base to better manage team member on-boarding, customer services inquiries, and chat?
At RevOppAI, we bring a few key principles to the strategic AI implementation process.
- Look for the Easy Wins: Repetitive, High-Volume Tasks
While creating fantasy graphics with Mid-Journey or Dalle-E 2 gets a lot of play when testing AI tools, the real wins are in tasks that bring efficiency to your team.
Same customer inquiry 30 times a day? Consider
- AI chat
- AI receptionist
- Automated text & email journey
- Reminder & scheduling tools
Does your CRM have 20,000 customer records that haven't turned into business, you don't know why, and they’re likely outdated? You’ll use
- No-code data analysis to quickly classify likely buyers
- Predictive tools
- Low-cost AI data tools for list updates
Are you constantly adding and refining code? Copilot has quickly become a coder’s favorite time-saver for coding. Paid ChatGPT provides code snippets and can troubleshoot code, but it’s language learning model(LLM) foundation isn’t considered as coder-friendly.
These use cases aren't sexy, but they free up critical capacity to grow new business lines and markets, guide team members more quickly to the gold, and over time allow your team to explore AI & automation tools that build customer trust, loyalty, and their own creativity to find new revenue sources.
2. Identify Champions
It doesn't matter how good your use cases sound if your team doesn't follow through with training and adoption. One of the most frequent objections we hear to new technology is, "It's still faster for me to do it the old way."
Consider which team members
- submit the most IT tickets
- bring frequent ideas for improving systems
- embrace change.
Ideally, the business user, not the product owner or IT tech, is the biggest champion for change. Help your champion set realistic chunks of work, timeframes for build, user acceptance testing and implementation.

3. Weigh Your Present Tech Stack Integrations
You've likely made a significant investment of time and energy into building out your present tech stack. If you’re on Microsoft365, Copilot’s assistant features fit seamlessly into programs you already know, and will require little setup. Easy to prompt a Word outline into a PowerPoint slide presentation, and integrate excel data into a flashy graph. These shortcuts promise to be big day-to-day timesavers. If your company uses SharePoint or One Drive, you’ll have fewer steps to build your internal knowledge base, but it’s unclear how that will connect to ChatGPT for queries.
In addition, CoPilot includes ChatGPT4 Turbo, which Microsoft calls “unlimited use” but ChatGPT describes the usage with their Team subscription as “not throttled during peak hours” when compared to CoPilot. ChatGPT for Teams users get up to 100 prompts per hour in ChatGPT4 compared to 40 for a ChatGPT Plus user (free users get ChatGPT 3.5). If you will primarily use your AI assistant for research, writing, or as a shared knowledge base for your team, you may find ChatGPT Team more useful. You can plug in existing GPTs or build your own. Think an on-boarding GPT with videos and “Test Your Knowledge” quizzes if your company doesn’t already have an online learning tool.
4. Be Careful Getting Your Advice from the Fox in the Hen House
You won't be surprised that I used ChatGPT4, Llama 2, and CoPilot in researching this article. Not only did I get vastly different responses from these tools on comparison questions, Llama and ChatGPT at points responded with no information on the subject. So don’t give up your favorite browser search just yet.
