The best way to comply to CQC Standards!

The best way to comply to CQC Standards!

Two things are jeopardising your compliance efforts: record taking and clear procedures.

Compliance with CQC regulatory standards is not just a legal obligation but patient well-being stands paramount.

The Care Quality Commission (CQC) sets essential standards of quality and safety. However, compliance can be a hefty task of challenges and obstacles, with uncertainty on where to focus your energy on.

Two significant obstacles often standing in the way are record taking and procedure clarity within employees.

1. Record Taking: The Backbone of Compliance

Accurate record-keeping is the backbone of compliance with CQC standards, it shows transparency, accountability, and continuity of care. However, the manual nature of record-taking processes can lead to inefficiencies, errors, and compliance gaps.

Regulation 17: Records relating to the care and treatment of each person using the service must be kept and be fit for purpose. Fit for purpose means they must: Be complete, legible, indelible, accurate and up to date, with no undue delays in adding and filing information, as far as is reasonable.

Inspectors want to see a systematic approach to your record keeping and the way you file this. In knowing this, you need to be on top of all of your records - paper or digital.

As a minimum you will need to record the employment of staff, each person using the service and overall management. Your inspector will have a close eye on the this information and how it's used and stored.

How can you monitor the records kept? Will this be clear to the right people when they need it?

CQC recommend a digital stored record system and we advocate for this. Imagine the frustration of sifting through piles of paperwork or deciphering illegible handwriting in critical medical records.

Investing in electronic health record (EHR) systems streamlines record-taking processes, reducing the risk of errors and ensuring comprehensive documentation. These systems not only facilitate easy access to patient information but also offer features such as automated reminders for follow-ups and alerts for missing data, enhancing patient care and going beyond minimal compliance efforts. Doing this will increase the likelihood of your clinic achieving an outstanding rating.

2. Procedure Clarity within your employees

Clear procedures are ESSENTIAL if you want to have the best practice. Get rid of any confusion, inconsistency and compliance breaches.

Implement standardised operating procedures (SOPs) within your clinic and establish a framework for consistency and compliance. Inform employees on the step-by-step protocols you have for various scenarios, leaving no room for interpretation. This can be done best through regular training sessions and performance audits, fostering a culture of continuous improvement.

By prioritising procedural clarity and investing in comprehensive training programs, clinics can empower their staff, instilling confidence and a better commitment to quality care.

Make it easy for employees to get it right! You can do this by:

  • Having these procedures written and broken down.
  • Strategically formatting your clinic to work in a way that compliments these procedures.
  • Putting up helpful visual cues to highlight key procedures.
  • Allowing for a collaborative space within your clinic to conduct training sessions and team discussions.

In conclusion, achieving outstanding compliance with CQC standards requires a strategic approach. Take these into consideration when designing your clinic fit-out. Let's create spaces for the future, together.
