Does AI really give event planners the freedom to focus on people?

Hey #EventProfs

Today’s question: Is event planning more about people or processes?

You’ve likely asked yourself the question above a thousand times.

When technology handles all the repetitive, time-consuming tasks, it frees you to do what you love most—crafting unforgettable experiences and building meaningful relationships with the events you host.

The Power of AI in Event Planning

We believe AI is not just a tool but a force that will liberate event planners from the mundane logistics that often consume their time. AI is like having an intelligent assistant who can create agendas, schedule meetings, land promotional campaigns, and analyze metrics with precision and efficiency. Sounds like a dream, right?

The magic of AI is in its ability to take on these menial tasks, allowing you to focus on what truly matters—connecting with people and delivering exceptional experiences.

Freedom to Focus on People

With AI taking care of the logistics , event planners can channel their energy into what really counts: building relationships and crafting experiences that resonate with attendees. The focus moves away from processes to people. The heart and soul of your event.

Here’s how AI empowers you:

Deepen Connections

Spend more time engaging with attendees, understanding their needs, and tailoring experiences to exceed their expectations. This personal touch can turn a good event into a memorable one.

Innovate Creatively

With logistics off your plate, you can dream bigger. Experiment with new themes, interactive elements, and immersive experiences that capture the imagination of your audience.

Strategic Engagement

Focus on forging strong partnerships with speakers, sponsors, and vendors. AI gives you the bandwidth to nurture these relationships, leading to collaborations that enhance your event’s impact.

Your Role as a Creator and Connector

With AI handling the nuts and bolts, you become the creative mastermind behind your events. This shift allows you to:

  • Innovate and design experiences that captivate and engage
  • Cultivate relationships with attendees, speakers, and sponsors
  • Focus on strategic planning and long-term vision

At vFairs , we’re excited to embrace this new era where AI empowers event planners to focus on what they do best—creating magical moments and building lasting connections.

With that said, we’d love to hear from you! How do you envision AI transforming your event planning process? Share your thoughts and experiences in the comments below.

Stay inspired,

The vFairs Team

As an aspiring future event manager and student in the Tourism and Hospitality industry I am curious about these AI processes, that could positively affect the events industry, rendering repetitive and long tasks, easier to deal with and encourage creativity and larger focus on the events themselves. Could giving tasks to AI affect an event business' authenticity? How do businesses ensure that the AI uses specific tones of speech, and vocabulary regarding the event business' branding? If AI usage is too obvious could it affect the event business' reputation?
