This is a unique opportunity for an experienced event operations professional with 2 years+ experience to join a fast-growing niche membership and events business that operates globally.

 

The Operations Manager will take specific responsibility for overseeing all logistical aspects of EMEA conference organisation for 6 flagship 2-day conferences per year, each with the potential for pre-day and post-day activities, as well as 4 smaller 1-day roundtable events per year. The role includes sourcing, negotiation with and liaison with all conference venues and suppliers as well as on-site management (including managing delegate registration and liaison) of conferences within the post-holder’s portfolio.

 

The role will require a dynamic individual with prior event operations experience capable of excelling in a forward-facing role managing and liaising with suppliers, venues, clients and attendees and who is looking for a role in a growth environment and ready for their next challenge. International travel throughout Europe and the Middle East is a requirement of the role.

 

The successful candidate will be a proven achiever, have outstanding communication and organisational skills, demonstrate ability to manage and stay within budgets, have a keen eye for detail and importantly relish being the first point of contact for many of our network before during and immediately after the events.

  • Excellent administration skills
  • Close attention to detail
  • Ability to balance needs of all stakeholders and to prioritize accordingly
  • Supervisory skills, ability to delegate and outsource appropriately
  • Problem-solving and creativity
  • Experience of using InDesign software
  • Familiarity with Salesforce or CRM systems
  • Experience of proofreading

 

Venue liaison

  • Sourcing suitable venues for events.
  • Contract negotiation with venues.

AV

  • Sourcing suitable audio-visual companies to provide set, staging and AV services for  events.
  • Contract negotiation including managing liaison between the venue and AV supplier.

 

Production of conference materials

  • Collation of conference materials (programme, speaker biographies, working papers, sponsor information etc.) for inclusion both online and in the conference marketing brochure and delegate guide.
  • Proof reading all conference materials and liaison with conference producers to ensure accuracy of all documents. Attention to detail is vital.

In-house communication / briefing

  • Constant communication with all other members of the conference team.
  • Conducting a team briefing before the conference.
  • Conducting venue final brief once the team arrive get on-site the day before the event.

 

On-site event management

  • Running the event on-site including all aspects of set up (overseeing the set build, sound checking etc.), final document collation, running the registration desk and the main meeting room, keeping the event to time, ensuring that the venue staff and caterers are all briefed and managed carefully.
