EVENT PLANNING CHECKLIST PART 4 (EVENT DAY EXECUTION)

Part 4 of our series brings you the Event Day Execution. Today is the day where all your planning comes together!

Here are the key components for event day to make sure everything runs smoothly:


SETTING UP VENUE:

  • Oversee the setup of the event. This includes seating, stages, infrastructure, signage, etc.
  • Ensure all AV and technical equipment is functional.


MANAGING REGISTRATION:

  • Set up check-in stations and manage attendee flow.
  • Distribute arm bands, programs, and/or other materials.


OVERSEEING EVENT OPERATIONS:

  • Monitor the schedule and make adjustments as needed.
  • Keep communication open between all team members.


ENGAGING WITH GUESTS:

  • Ensure speakers and/or performers are prepared.
  • Engage with attendees, sponsors, and the media.


MANAGING ISSUES:

  • Quickly address any problems that arise.
  • Use the contingency plans that were put in place if necessary.
