From Dream to Disaster: Lessons from Software Implementations Gone Bad
In my past role as a corporate learning and development leader for more than 23 years, I experienced various software implementation projects. Some undertakings were successful, while others faced huge challenges. Some were swiftly completed, while others lingered on for years. My corporate journey in software implementations exposed me to a wide range of scenarios in this field. Throughout these experiences, one lesson stands out: the success of any software implementation hinges not just on the technology itself, but on the people who use it.
Isn't it incredible how effortless the software sales team makes everything seem? They excel at showcasing all the features and functionalities, enough to truly ignite your enthusiasm to buy. Nevertheless, there can be a significant contrast between the sales team and the implementation team. While the sales team aims to boost your excitement and paint a rosy picture of the product's benefits during the sales process, the implementation team faces the reality of bringing those promises to life.
For organizations, a software implementation is often seen as a pathway to innovation, efficiency, and a competitive advantage. However, when things go wrong, it can quickly turn into a disaster. Imagine a scenario where every step of the process is filled with challenges, miscommunications, and unforeseen obstacles.
During corporate implementation projects, I learned many lessons. In the beginning there were high hopes and lofty goals. We were pumped with enthusiasm thinking about how the software was going to make our lives easier. The project team was formed and we were confident this was going to be a game changer. The software vendor was a reputable company with a solid track record. The implementation plan was detailed, with clearly defined milestones, timelines, and deliverables. On paper, everything looked perfect, but real life often has a way of disrupting even the best laid plans.
The first sign of trouble appeared during the requirement gathering phase. The vendor's team and our team had very different interpretations of what "customization" meant. We expected a fully tailored solution, while the vendor planned to implement a standard package with minimal adjustments.
This misalignment led to endless meetings where both sides talked past each other. Critical features were either overlooked or misunderstood, and by the time the scope was finalized, it had expanded far beyond what was initially planned. The most important lesson learned was concerning communication. Clear communication and alignment of expectations are crucial from the outset. Every detail of the project scope, especially around customization, needs to be thoroughly understood and agreed upon by all parties involved.
For any organization embarking on a software implementation journey, the key takeaway is this: success is not just about choosing the right software—it's about managing the process every step of the way. Learn from the mistakes of others, stay vigilant, and never underestimate the complexity of software implementation. By doing so, you can avoid your own trip through a disastrous implementation process.
My Entrepreneurial Journey with Course Building Software
Starting a business is often portrayed as a journey filled with excitement, innovation, and the thrill of building something from the ground up. As an entrepreneur I was ready. Having seen enough challenges with software implementations in my corporate journey, I thought I would be well prepared when it was time for me to implement my own course building software.
However, I quickly realized that the transition from corporate structures to entrepreneurial ventures brought about a whole new set of challenges and learning opportunities. In the corporate world, there were established protocols, abundant resources, and a team to back up every step of the process. As an entrepreneur, I found myself wearing multiple hats, from project manager to customer service representative, and even the occasional tech support. This is my story: the challenges, frustrations, and valuable lessons I learned while trying to implement a course-building platform for my business.
It all began with a vision of launching my very first coaching program in an all-in-one platform. I wanted to create a user-friendly, engaging client learning portal where clients could access my quality content at their own pace. The idea was simple: invest in a robust course-building software, customize it to fit my brand, and launch an online learning platform that would not only set me apart in the market, but also give my clients an on-demand space to access learning materials outside of our coaching sessions.
The first hurdle was choosing the right software. With so many options available, each promising to be the ultimate solution, the decision was far from straightforward. I spent countless hours researching, testing demos, and comparing features. It was crucial to find a platform that was not only robust and user-friendly but also scalable to accommodate future growth. Finally at the recommendation of my coach, I settled on what I believed was the perfect solution. The software was well-reviewed, boasted an impressive list of features, and seemed like the ideal fit for my needs. I was confident that this would be a straightforward implementation, allowing me to focus on creating content and growing my business.
The excitement of the new venture quickly gave way to frustration as I dove into the implementation process. What was supposed to be a user-friendly platform turned out to be anything but. The initial setup was riddled with confusing options and technical jargon that seemed to require a degree in computer science to understand. Despite the platform's claims of being intuitive, I found myself spending hours—sometimes entire days—trying to figure out how to do simple tasks.
Customizing the platform to reflect my brand was another major hurdle. I was forced to hire someone to help me to make the necessary adjustments. The additional costs and time spent on customization were not something I had anticipated, and they began to eat into my budget and timeline.
One of the most frustrating aspects of the experience was the lack of support from the software vendor. Sure, they gave me two onboarding sessions. Even though I consider myself good with learning technology, I remember feeling stupefied. I didn’t have a team to bounce things off of. So whenever I encountered a problem, I would submit a support ticket and wait. And wait. And wait some more. The responses, when they finally came, were often unhelpful, pointing me to generic FAQs or suggesting I "consult a developer"—which felt like a cop-out for a platform that advertised itself as accessible to non-technical users.
The lack of clear communication and guidance from the vendor made me feel stranded. I began to dread logging into the platform, knowing that any attempt to move forward could result in more roadblocks and unanswered questions. As the implementation dragged on, it started to impact other areas of my business. The time I spent troubleshooting the software was time I wasn’t spending on content creation, marketing, or client engagement.
The stress of the situation began to take a toll on my enthusiasm for the project. What started as an exciting venture into online learning had turned into a source of constant frustration and disappointment. After over a year of struggling, I reached a point where I had to make a decision: continue to push forward with a platform that wasn’t working for me, or cut my losses and find an alternative solution. It wasn’t an easy choice, but in the end, I decided that my sanity and the success of my business were worth more than the sunk costs of a failed implementation.

I took a step back, reassessed my needs, and began exploring other options.
