Being a powerful integration platform, APPSeCONNECT has come across many clients using Microsoft Dynamics Business Central. And one of the recurring queries that we get from them is regarding item variants in the ERP system. 

What are Item Variants? 

In Dynamics 365 Business Central, item variants refer to different variations of the same product. These variations typically differ in attributes such as size, color, style, or other distinguishing features. Instead of creating separate product masters for each variation, Business Central allows users to manage these variants under a single product, streamlining inventory management and sales processes. This feature is particularly useful for businesses that offer products with multiple options or configurations, such as apparel, electronics, or customizable goods. 

Here are some examples of product variants: 

  • Apparel: T-shirts available in different sizes (small, medium, large) and colors (red, blue, green). 

  • Footwear: Shoes available in different sizes and styles (sneakers, boots, sandals). 
  • Electronics: Smartphones available in different storage capacities (16GB, 32GB, 64GB) and colors. 
  • Furniture: Chairs available in different materials (wood, metal, plastic) and finishes (matte, glossy). 
  • Food and Beverages: Coffee available in different flavors (vanilla, caramel, hazelnut) and sizes (small, medium, large). 

Managing Variants in Business Central 

Managing item variants in Business Central involves several key steps: 

  • Define Variant Attributes: Identify attributes like size, color, or material that differentiate product variants. 
  • Create Item Templates: Make templates representing base products, assigning relevant attributes (e.g., "Shirt" with "Size" and "Color"). 
  • Creating Item Variants: Generate individual variants based on templates, differing in attributes (e.g., "Shirt – Small, Red"). 
  • Configure Variant Pricing and Inventory: Set prices and manage inventory for each variant, defining pricing rules for different attributes. 
  • Track Sales and Inventory: Use Business Central's features to monitor sales, inventory levels, and analyze performance.
