How to successfully change your IT MSP

Does changing your IT MSP fill you with dread?

Regardless of service provider, switching suppliers can be challenging. Most of us have experienced that headache whether it is mobile providers or gas and electric.

Sometimes it feels like it is not worth the hassle.

However, when it comes to IT services, changing your IT MSP can be a game-changer for your business.

Here’s why.

SMEs cannot function without a robust IT infrastructure that works with the business. And, in an increasingly cost-conscious (and currently unpredictable) recruitment market, you need streamlined operations and enhanced security that boosts productivity, without the overheads of large in-house IT teams.

There is a reason that Google search phrases like ‘IT MSP’ and ‘IT managed service provider’ have increased by 900% in the last 3 months. It is because these services provide the business with the IT solutions they need, at a fraction of the cost.

Additionally, you get access to the latest tools and advancements in IT technologies more cost-efficiently than if you went direct and, infinitely more IT expertise and resources. If you need anymore evidence of their value, the global market for IT MSPs is expected to grow from $24.68 billion in 2024 to $28.15 billion by 2029.

If done properly, it is a win-win.

Ask yourself, is changing my IT MSP worth it?

If you are frustrated by your current IT MSP due to hidden costs, outdated technology, or subpar service, it’s time to change.

Concerns like potential downtime or disruption about switching your IT MSP are valid but shouldn’t prevent you from implementing a better service and value. With a structured plan and open communication, the transition can be effectively managed.

In my experience, the benefits of partnering with an IT MSP that truly aligns with your business needs far outweigh the reservations and potential challenges.

If you are unsure as to whether your current IT MSP is right for you because you don’t have the internal resources or expertise to make this determination, you can leverage digital MOT or IT health check services of an IT MSP, to independently assess your existing IT systems.

5 steps to successfully change your IT MSP.

As Head of IT within a range of recruitment businesses, I’ve navigated this process many times. I’ve made the mistakes, and learned from those, so you don’t have to.

Whenever I have changed IT MSPs, careful planning was instrumental in ensuring a smooth transition.

Here are the top 5 steps to keep you on track

1. Assess and plan: Assess your current IT MSP’s performance and clearly define your expectations from the new provider. This involves gathering feedback from all stakeholders and setting realistic goals that everyone can understand.

2. Take your time: Take your time selecting a new IT MSP. Vendor vetting is critical to getting the right fit for you. When you interview multiple providers, request detailed proposals, and speak with their current clients, you will be confident that you have identified the best fit.

3. Roadmap the transition: After selecting the new IT MSP, the real work begins. Create a comprehensive transition plan. This includes timelines, key milestones, and responsibilities. HINT: Ensure an overlap period where both IT MSPs are involved, typically between 4 and 6 weeks, to prevent any service gaps.

4. Always communicate: Keeping all stakeholders informed throughout the process is crucial. Regular updates and open communication help manage expectations and address concerns promptly.

5. The post-transition mop up: To avoid any mishaps once you’ve successfully transitioned to your new IT MSP, a post-transition mop up is essential. Regularly review the new suppliers’ performance against your expectations. This allows you to make necessary adjustments and ensure you are on the right path, from the offset.

Is the grass greener?

The promise of a better IT MSP is tempting, but it is crucial to approach this decision strategically.

From my experience, the grass can be greener, but it requires thorough research. Vetting potential IT MSPs, checking references, and understanding their service models are essential steps.

Despite the acronym, an IT MSP must be a strategic partner, not just a service provider.

The right approach to changing your IT MSP

Changing your IT MSP is a significant decision, but with the right approach, it can lead to substantial improvements in service quality and business performance.

Reflecting on my journey, the key takeaway is to never settle for mediocrity. The right IT MSP can be a game-changer, driving innovation, efficiency and profitability.

If you are contemplating a change, my advice is don’t let fear of change stop you from making the key change you know your business needs.  Take the leap – but with careful planning and a clear vision of what you want to achieve.  The rewards can be well worth the effort.
