How To Transform Into An SAP Expert

If you are planning to establish your career as an SAP consultant then this blog is a MUST READ! It will provide you with an overview of how to become an SAP expert from an absolute beginner.

There is huge competition at this time as it becomes necessary for the young generation to be abreast of technology to achieve success. In terms of career, if someone wants to succeed one has to be devotional and persistent in putting efforts towards learning the latest technologies and innovations. New beginners need to have patience, passion to learn, and creative thinking to transform themselves to be SAP proficient. It’s not an overnight process and there is no shortcut method to become an SAP expert. For a new entrant, it is believed that gaining SAP certification would help in jumping to the next level and filling the gap of knowledge, but rather it is not always the case. SAP certification surely increases your market value, but it won’t guarantee your thorough understanding of the subject. Consultant jobs in SAP come with premium remuneration over other IT field jobs which are based on technologies like JAVA, python, .Net, etc. The major reason being, knowledge in technology is not enough, one needs to have sound knowledge of business processes to be fully capable of providing advice, recommendation, guidance, and implementation of their respective SAP domains.

Success in SAP consulting is an enduring process; hence, it requires constant learning as SAP technologies are continuously advancing, an actual desire to be a skilled consultant (unless you only want to be an employee who is working for a salary), flexible in adopting the new environment and conditions as you may require to travel for work. Not only learning but sharing your knowledge is an excellent way to further enhance your knowledge in SAP.

Here are some key areas on which you can work on to enhance SAP knowledge.

1.)   SAP FICO: it is the Finance and Controlling module in SAP where FI represents Financial Accounting and CO represents Controlling. The name is suggested in a combined way because mostly financial accounting needs controlling systems features to control costs and manage profits. Being one of the most important SAP modules it is one of the most widely implemented modules as it covers mostly all types of business processes irrespective of the industry it is implemented in. The main focus of SAP FICO is to provide enterprises with a solution to manage financial statements that can further be used for reporting and analysis purposes.

FI and CO are usually referred to as one module as both of them are closely integrated with each other, FI provides help in financial reporting and accounting whereas CO is mostly responsible for planning and cost monitoring.

SAP FI: The main purpose of this module is to provide reporting and analysis that are generated by financial statements like balance sheets, profit/loss statements, etc. SAP FI has subsequent modules: accounts receivables, accounts payables, asset accounting, general ledger accounting, and bank accounting, which manage their specific accounting processes. The transactions are stored in General Ledger data which can be extracted at a time. All these sub-modules are interlinked and reconciled in real-time and are always balanced because they are interconnected.

  • General Ledger: All the general ledger accounts handled by a company or group of companies are comprised together as an entire dataset which is used for reporting and is managed through general ledger accounting. These accounts are used to generate financial statements.
  • Accounts Payable: This sub-module takes into account all the vendor-related sets of transactions and manages vendor accounts. These transactions are regarding posting of invoices, credit memo posting, down payment, invoice payments, automatic payment program, and executing vendor reports. Vendor accounts are maintained separately, these transactions are when added to customer's accounts, general ledger accounts are updated automatically to give real-time data while reconciliation.
  • Accounts Receivables: This sub-module records customer transactions and takes care of customer accounts. Transactions in this module are the same as accounts payable, but the only difference is that it is for customers. 
  • Asset accounting: This sub-modules primary focus is the company’s fixed assets like buildings, land, equipment, machines, etc. These transactions are related to sales, depreciation, asset retirement, asset acquisition, asset transfers, etc.
  • Bank Accounting: This sub-module deals with bank transactions. It is responsible for the reconciliation of all transactions on bank statements with a comparison to those in the system.

 SAP CO: It is also another important SAP module offered to organisations to manage and control processes to plan, report, monitor a company’s operational costs. SAP CO helps in making decisions to increase the profitability of the business. Like SAP FI, SAP CO also has sub-modules that contribute to managing particular processes. These key components are elaborated below:

  • Cost Element: Cost Element Accounting tells about the type of costs, more precisely source of cost: FI (primary) or is CO independent (secondary). It displays information regarding a company’s cost and revenue based on profit/loss statements, they are generally called income statements.
  • Cost Center: It focuses on the accounting of expenses only not the revenue of the organisation. Cost centers primarily deal with the company’s internal entities and departments like sales distribution, HR, marketing.
  • Internal Order: Costs incurred on internal small projects which are non-fixed assets, which can be adjusted in other CO modules.
  • Product Costing: It manages the costs regarding the production or manufacturing of a company’s products or services. It is highly complex and closely integrated on other modules of CO as well as logistic modules like PP & MM.
  • Activity-based costs: Cost management of activities and processes of various business functions.
  • Profitability Analysis: This accounting tool allows management and evaluation of the profitability of the products or the market share of the company. This analysis is an important factor in making future decisions on subjects like marketing, pricing, distribution, etc. There is a detailed analysis of profit generation based on different factors such as region, products/services, even profit earned by an individual customer.

2.)    SAP SD: SAP Sales and Distribution is an SAP module that contributes to managing information of business processes such as selling, shipping, billing of a product. This module is closely integrated with other SAP modules like HR, PP, MM, PM, QM & FICO. Some important feature of SAP SD module includes Price and Taxation, Availability Check, Billing & Invoice, Material Determination, Credit Management, and Account Determination.

SAP SD sub-modules:

Master Data:  SD-MD module keeps track of all sorts of transactions happening on the SD module’s data. This data is consists of customer data, material data, credit management, and price records.

Sales: Detailed management of sales processes that track from a recording of the product against customers, pricing and quotations, feedback and inquiry, Scheduling Agreements, Rush Orders and Back Orders, Credit & Debit Memo Requests.

Shipping Material: SAP-SD-SHP handles information about shipping orders like shipment date, shipment process, delivery, and return of products to the right customer. The entire process of shipping from generating Shipping Documents to Picking, Packing & Inventory management, and later delivery, everything is recorded using this module.

Billing: SAP-SD-BIL is the most pivotal part of Sales and Distribution as it manages all the transactions including the number of transactions and choice of payment methods like online payment and cash payment.

Sales Support: SD-CAS controls the interaction between sales and customers as the process of sales involves communication between them.

Transportation: SD-TBA supports SAP-SD-SHP to keep track of transportation data associated with shipments.

Foreign Trade: This module looks after foreign trade transactions both for imported or exported products.

3.) SAP HR and HCM:  SAP Human Resources and SAP Human Capital allows automating HR processes like administration and payrolls. The fundamental objective of Human Resource Management is to make the process of employee data recording easier and current to meet the business needs of ineffective structures.

SAP Human Capital Management (HCM) manages major aspects of organisation management i.e Workforce process management and talent management.

Some of the key sub-module for SAP HR :

  • Organizational Management
  • Personnel Administration
  • Time Management
  • Payroll Accounting
  • Travel Management
  • Succession management
  • Career management
  • Enterprise Learning
  • Recruiting 

4.)    SAP PS: SAP Project Systems is a functional module that is a project management software tool that is integrated with other elements of SAP ERP that helps users channel funds and resources in order to make the delivery on time and within budget. The main users of SAP PS i.e Project Managers a lot of project deadlines (start/end) and other discrete elements and structures. Work Breakdown Structure makes the project organised by structure, hence the main project is segregated into smaller groups of tasks, arranged in a hierarchal structure with the support of work packages that consist of a range of activities with the details associated with them. Another function that allows building relationships and permits these activities is called the network function.

SAP PS is an extensive part of SAP ERP and works on close integration with other SAP modules to optimize the productivity in project management, best suited for complex and mature projects.

All these modules are the most implemented modules and SAP is not limited to these only. There are other modules as well but they are more industry-specific. A good understanding of the above modules will help someone aspiring to start in SAP as these are the basic operational modules within any enterprise. If your company runs on SAP tools and software or you are aspiring to learn a new skill, choosing one of the above fields and grasping an in-depth knowledge of that module allows you to succeed in your workplace.
