Sheets. Too many sheets everywhere!

And how I helped this brand fix it


They shared their screen on the call and I almost fell off my chair.

“Is this how you manage your vendors, clients, and employees?”

“Yes,” they replied. 

“In Google Sheets?”, I kept asking in disbelief, “how do you remember everything?”

“We don’t. And this can’t be the way we do things anymore. That’s why we we’re here with you today”, they replied.

They knew they had a problem.

This R&D brand had reached a point where it no longer made sense to keep track of every aspect of the business like that.

And frankly, the headspace of everyone onboard was running out. Quickly.

When I say that they did their customer management in Google Sheets, I mean they did EVERYTHING through it:

👉 One sheet for sales, color-coded according to the stage of the sales process of  each customer

👉 One for client briefs and the stage of work with each one 

👉 Another one for business partners and suppliers, and what each one of them needed

They were drowning in Sheets.

And that’s not scalable.

But they had a process in place, they knew what each step of it was, and they had clear documentation of their process and the right links to each Sheet.

They just didn’t have the right tools in place to allow them to scale like they planned.

I kept digging deeper to identify their needs, asked them about their future plans, and knew exactly what their new techstack should look like.

Now they have forms that give them so much more data about their clients (we used Jotform), all automated and connected to one customer management system (Airtable, with a few Zaps in between), and connected that directly to their invoicing tools (Xero).

Jotform -> Airtable -> Zapier -> Xero


Today, with just a few clicks, everyone on the team can access each client individually and see where they are at in their journey.

No more Google Sheets, confusion or lost headspace. 

Instead, they have clarity, the right tools, and the automations to support their growth.

Google Sheets is not that bad, it's actually great for a specific type of workflow. But not for everything Irit Levi 😀
