Systematize First

Hire + Scale Later

Are you so busy that you can't keep up? Are you thinking it might be time to hire? Maybe you already have someone you are working with.

TRUTH: Hiring is NOT a shortcut to efficiency. In fact, it can be a recipe for disaster if you don’t have structure in place first. Why? Because you are the coach, and your selected players need your direction. Imagine a football team showing up on the field without a rule book, playbook, or specific positions designated for each player. Chaos. The same thing applies to your business. Now, this doesn't mean you need to spend time in the trenches doing jobs you are not suited to do, BUT it does mean that you need to identify what those jobs are, be able to articulate expectations and hire appropriately.

ANOTHER TRUTH: Building a successful business, especially a scalable business with longevity, takes time, effort, and a whole lot of hustle. It takes a well-crafted plan and even better execution. It takes clarity. One of the biggest mistakes I see is when an agent hires just to have an “extra set of hands". Agents often think this will solve time constraints, help provide better service, and increase income. It does not unless it is done correctly.

ONE MORE TRUTH: Growth does not always mean an increase in volume. Adding team members, assistants, or even transactions does not always equal profitability. Service can also decline without a plan. Profitability and service should ALWAYS be the focus, not volume. Sometimes, adding team members is done simply to increase volume. This is the wrong approach. You need to lead, and to do so effectively, you have to have a game plan, structure, and systems in place. With this in place, you are positioned to increase profitability and elevate the service you provide once you bring on other team members.

Here's what happens when you hire without clarity or systems:

👉Confusion reigns: Unclear roles, processes, and expectations lead to frustration and expense.

👉Wrong fit candidates: You attract the wrong talent because you are unclear about what you are looking for or need.

👉Productivity plummets: Efficiency is hard to achieve without clear roles, job descriptions, and clearly outlined responsibilities.

👉Stress skyrockets: It is hard to meet expectations without systems in place.

Take these 4 steps before hiring:

  1. Map your journey: Define your goals and growth plans. What are you striving for? Do you have a business plan in place? Your team should understand your vision.
  2. Build clear roads: Document your workflows for key tasks like lead gen, client care, and transactions. If you are looking to hire someone to assist with implementing this, you still need to document your expectations. No one knows your business like you, and we all know that there are a million different ways to succeed in this business. You can't expect someone to come in and take the wheel.
  3. Set boundaries: Define roles and responsibilities for yourself and your team. Who owns what? Once you have outlined this, be willing to stay in your lane.
  4. Automate and lean on tech where possible: Leverage tech to simplify repetitive tasks and free up time for everyone, but be careful not to hoard systems and overcomplicate processes.

Remember, systems are an investment, not a cost. If used correctly, they help with efficiency. Systems create clarity, help identify needs, and ultimately assist with attracting the right talent. They empower everyone on your team to thrive.
