Three Reasons to Use Applicant Tracking for NetSuite SuiteApp
If you’re already using NetSuite, you’ll understand how the integrated finance, sales and operations software can transform your business. Having every business function under the same software ‘roof’ means every department interlinks in terms of business information and operations. That means three key things:
But candidates are not yet in the business and have little operational impact, so how can bringing the recruitment process into your ERP make a difference? Unsurprisingly, bringing ALL business functions into the same stall always has an impact.
Here’s three reasons to use Applicant Tracking for NetSuite
Better Control Over Spending and Costs
Because NetSuite is your finance software, you use it to create your budgets and keep track of your costs. Applicant Tracking for NetSuite allows you to track recruitment specific costs such as cost of advertising, cost of external recruitment consultants or even time spent recruiting (and therefore cost of recruiting). By linking this all back to your HR budget you can get a clear sense of the cost of recruitment, broken down by vacancy, type of vacancy, department, classification, location etc. Better understanding of recruitment costs leads to better decision making – not just around recruitment, but around retention and employee management and engagement too.
GDPR Compliance
If you are planning to keep personal data for longer than a month, General Data Protection Regulations (and any UK equivalent regulation) requires you to specify the length of time you will retain personal identifiers. Eventually, you will have to delete candidate information after your specified period – typically no longer than 6 months or so. This isn’t useful if you want to retain adequation such as gender, ethnicity or religious denomination for equality and diversity reporting.
Applicant Tracking for NetSuite SuiteApp has a useful candidate “purge” button which deletes any candidate personal identifiers but to retain the adequation for reporting. Reminders can be set up on your dashboard to tell you how many candidate records have passed the required purge point, so you will retain compliance as per your GDPR policy.

Efficiency through Integrated Records
One of the most useful features of Applicant Tracking for NetSuite SuiteApp is its ability to automatically convert the successful candidate into an employee at the touch of a button. The system will generate a new employee record, porting across all the relevant candidate information. The candidate record will, of course be retained, but you will not have to rekey all the relevant information into a different system to onboard your successful candidate.
BONUS INFO: If you are using CloudTamers’ HR for NetSuite Core or Talent modules, you will also be able to integrate the following:
If someone resigns or is dismissed, as part of your release process you can create a vacancy authorisation approval process to quickly initiate recruitment for a replacement.
If you are using HR for NetSuite’s Talent module, you can associate a job description, with key competencies and skills, to the vacancy record. Not only will all candidates be assessed against those core competencies and skills as defined by the job description, but the successful candidate can then be performance appraised against the same competencies and skills without any manual intervention by a line manager or HR manager, demonstrating continuity to the employee and saving time and effort.
