We need someone to look after us here at Previously Unavailable. A full-time assistant/office manager who loves people and loves taking care of them.

We're a 7-year old creative company specialising in innovation. We work with large corporates and ambitious start-up companies helping them create their products and brands. We are a team of 10 strategy and design people working in a beautiful character studio in the heart of Ponsonby. We have a fun, easy-going culture of people who love what they do and really like being around one another - no one’s left our business in the last 5 years.

We’re looking for someone to take care of us.

Our business has grown a lot in the last couple of years, we’re flat out working on a world of exciting projects, and we need someone to care for us.

Up until now, we’ve shared all of the admin in our business. We make our own coffees, open up in the morning, close up at night, do all the shopping, run all the errands, tidy the office, liase with the cleaners and other contractors, and run our own diaries.

We now need someone who’s part executive assistant, part office manager, and full people person.

To do all the little things like organise meetings, coordinate diaries, make coffee, get lunches in, greet clients, run errands, keep the office tidy and functioning, manage the shopping, liaise with cleaners and other contractors and all the other little jobs that make a big difference.

More importantly we need someone who is an oasis of calm and a force of positivity. Someone who loves people, and loves looking after them. Someone to ask how we’re going. To notice when someone’s having a hard day and be there for them. To be unshakeable and unflappable and a ‘nothing’s a problem’ kind of person. Someone who’s done this sort of thing before and is loved and raved about by those they’ve worked with before.

The role is 8:30-5:30, Monday to Friday, but we are open to more flexible working arrangements if desired.

Thank you for recognizing what good admin/exec assistants never realize they are doing. They are taking care of the mental load so leaders can go work their magic. I shared the job description with mum who worked as an exec assistant all her life and she said she felt seen. 😊
