What Makes a Hotel Hot for Small Groups?

Does anyone else feel like the big events get all of the time in the spotlight? Sure, there’s nothing like seeing thousands of jaws drop at a spectacle you’ve helped bring to life. But, I’ve found that pulling off an incentive trip for 35 can be just as complex (if not more so) than seamlessly executing an offsite conference for 3,500. An exclusive guestlist doesn’t mean minimal impact. Here, I’m going to walk you through the aspects that make a hotel hot for small groups.

1. Wow Them With the Welcome

Shelly Archer recently posted a great article on giving VIPs the red-carpet treatment in which she emphasized the importance of the arrival experience. While hiring a wall of paparazzi may not be the right fit for an intimate event, I strongly agree that (literally) starting off on the right foot makes all the difference. When planning a smaller event, look for a hotel that has a porte cochere. There’s nothing quite like rolling up and receiving a flute of champagne or glass of refreshing cucumber water as soon as you step out of the vehicle. Personalized greetings on the guestroom TV screen bearing the guest’s name on arrival will also spark some cozy feelings.

2. Make Them Feel at Home

When you’re treating a smaller group, finding the right homebase is key. With a smaller group, you want to look for a hotel with a boutique feel. It should be appropriately sized so your attendees don’t ever get lost in the mix. If you don’t have a lot of budget, smaller hotels can also be an economical option. Try to match the interests and personality of the group – but never sacrifice spacious meeting space. There’s nothing more de-motivating than feeling like your board meeting has been crammed into a broom closet. Finding co-working space nearby can help offset this if you’re otherwise sold on a hotel!

3. Low-Key Logistics

If the budget is right, a buy-out of a remote resort can be a great option. It’s much easier to orchestrate arrival and departure with fewer folks to ferry around. If you are going to do this, still make airport accessibility a priority! Just trust me on this; I’ve lived through enough transportation nightmares for the both of us. 

4. Stay and Play Awhile

If partners or families are permitted to come along for the ride, be sure to discuss pre and post rates for extensions on attendee stays. Looking for family-friendly attractions and activities in the area will ensure everyone involved has a great time. Be sure to let the hotel know if there are children in your group, they may be able to set up something special for the younger set.
