When's the Best Time to Send an Outreach Email? The Answer Might Surprise You

If you’re in the world of business development, you’ve probably asked yourself this question countless times: When is the best time to send an outreach email?

Whether you’re sharing a helpful asset or making a Give to Get offer, the timing seems crucial.

I’ve been asked this question by dozens, maybe even hundreds of people. And the answers we hear can be all over the place:

  • Some swear that 10:23 a.m. on a Saturday is ideal because CEOs are supposedly catching up on emails then.
  • Others insist that sending a message at 5:00 a.m. on a weekday is best so your email is the first thing they see when they wake up.
  • Some say wait until December because, apparently, recipients will have more time during the holidays.

All of these strategies have something in common: they focus on later—send it this weekend, early tomorrow, or at the end of the year. But here’s the real issue: “later” often turns into never.

The Perfect Time to Send Your Email?

It’s not at 10:23 a.m. on a Saturday. It’s not at 5:00 a.m. It’s not in December. The perfect time to send that email is... now.

Yes, right now.

Why Now Is the Best Time

Here’s why “now” beats all those other times: it ensures that you actually get it done. That’s job one, and frankly, it’s 99% of the value.

Think about it. How many times have you delayed sending an email because you were waiting for that “perfect time”?

You tweak it, overthink it, and end up not sending it at all.

By the time that “optimal moment” rolls around, the opportunity may have passed, or the excitement has faded.

Sending the email now gets you moving. Action is better than perfection.

  • Need to send a helpful asset? Do it now.
  • Offering your assistance? Do it now.

You can always follow up later if you don’t hear back, but the key is to take action immediately.

What If You Don’t Get a Response?

If you don’t get a reply right away—fantastic!

That opens up the opportunity for a follow-up. And that’s where all the "perfect timing" advice can come in handy.

Didn’t get a response after sending your email today? Great! Follow up at 10:23 a.m. on a Saturday or at 5:00 a.m. during the week.

But the initial action? That happens now. By getting the ball rolling, you’re already ahead of the game.

Take Action Today

So the next time you’re debating the “perfect time” to send that outreach email, remember this: The best time is now.

Write the email. Send the email. Boom.

Because in the world of business development, action beats hesitation every time.

Yes! Stop overthinking this stuff and just hit send! Plus, trying to time your outreach according to the latest "best practice" will often backfire. If everyone thinks the best time to send an email is on [DAY] and [TIME], then guess when everyone else is ALSO going to be sending their emails. Whatever advantage you might have had is now wiped out.
