Signavio enables collaborative business process modelling for everyone in the organisation. Effektif makes it easy to execute process models. This video tutorial shows you one way to use both tools together, by using Effektif to execute a process model that you design in Signavio.

Hello, and welcome to Effektif. In this tutorial, I’ll show you one way that Effektif integrates with the Signavio Process Editor.

Signavio enables collaborative business process modelling for everyone in the organisation. Effektif makes it easy to execute process models.

By the end of this video, you will have seen a way to use both tools together, by using Effektif to execute a process model that you design in Signavio.

Here is a business process model in the Signavio Process Editor. It models a document approval workflow.

The two swim lanes separate the tasks for the author who prepares and corrects the report, and for the manager who decides whether to approve the report.

I’ve collaborated on this process’ design with colleagues, who used Signavio to add comments directly to the model.

The model must be nearly ready, because this last comment doesn’t seem very serious. I’ll just update the task name and mark the comment as factored into the model.

I am now ready to save the process… and use the Signavio Explorer to execute it in Effektif.

When you select the Execute in Effektif option, the Signavio Explorer copies the process model to Effektif. You then choose between opening or executing the workflow.

I shall now start a case in Effektif for approving a report by entering a name.

After starting a new case, Effektif’s case view shows the first task, to prepare the report. I’ll assign this task to myself.

When I’m ready, I can attach a draft report to the case by uploading a document. Since this is a demo, I’ll just upload one I prepared earlier and mark the task as complete.

The next task in the process is to review the report, which I’ll assign to Ben.

Right about now, Effektif is sending Ben an email notification to tell him that he has a task to work on. After Ben clicks the link in the mail to open this page, he can open my report from the event stream on the right.

He must have just done the same thing, because I can hear him complaining that the pie charts aren’t colourful enough. I might as well complete the task for him, by rejecting this version of the report.

Effektif has automatically assigned the Correct report task to me, because when I assigned the first task, I took the Author role defined by the swimlane we saw in Signavio.

That reminds me: that’s also where I was warned that reports should have colourful pie charts.

Conclusion

Modelling a process is only the first step: running the process is what’s next.

When you run a process in Effektif, you get a variety of tools to help people work together productively, in a web-based environment that you can use to continually improve the process.
