When handled with care and preparation, these conversations become opportunities for improvement and stronger relationships. Preparation matters: feedback that’s ill-prepared can come across as reactive or overly critical, undermining its purpose. On the other hand, thoughtful feedback fosters understanding, encourages positive change, and builds trust. 🔹 How can you prepare? 1️⃣ Clarify Your Objective Be clear about the purpose of the feedback. Is it to address a performance issue, clarify expectations, or support development? Keeping the goal in mind ensures the conversation stays focused. 2️⃣ Base It on Facts Feedback should be specific and tied to observable behaviors or outcomes. Use concrete examples to illustrate your points rather than vague generalisations. 3️⃣ Anticipate Reactions Think about how the other person might respond. Are they likely to be defensive, surprised, or upset? Planning for possible emotions helps you remain calm and empathetic. 4️⃣ Use a Framework Tools like the SBI (Situation-Behavior-Impact) model can structure your feedback. Outline the situation, describe the behavior, and explain its impact. This is the boundaries that you are comfortable that the team or individual can safely and effectively complete tasks without any guidance from you.
